HR Services Specialist - Fixed Term Contract

Job Summary: 

The HR Services Specialist is a critical member of the HR Operations team, responsible for delivering consistent, high-quality support across a range of core HR processes. This role acts as the first point of contact for employee queries and is directly involved in the operational execution of key activities such as onboarding, payroll, contractual variations and terminations. 

As a subject matter expert in the HR processes we oversee, the HR Services Specialist helps maintain operational efficiency, supports continuous improvement initiatives, and promotes a culture of compliance and accountability. This position plays a vital role in maintaining the integrity of HR systems, data, and processes- ensuring that employees and managers receive reliable, timely support throughout the employee lifecycle.

Role Responsibilities

·      Supports the business with processes related to job changes, including promotions, transfers, changes in working arrangements and terminations.

·      Prepares and submits monthly payroll inputs for each entity, whilst coordinating with the internal payroll team and internal stakeholders to ensure payroll is processed in a timely and accurate manner.

·      Monitors and responds to employee enquiries submitted through the HR Services ticketing system, within the agreed SLA ensuring responses are timely, accurate and of high quality.

·      Maintains up- to-date employment documentation and information within personnel files and the HRIS.

·      Acts as a subject matter expert for the HR Services function, providing guidance and support to HRBPs, line managers and employees.

·      Help ensure that all HR operational activities are conducted in a legally compliant and policy- aligned manner.

·      Maintain a good understanding of employment legislation across the EMEA region.

·      Proactively participates in the implementation of HR projects and new initiatives.

·      Assists in developing and maintaining process documentation and templates.

·      Advocates adherence to internal procedures ensuring compliance with policies and local legislation.

Required Qualifications and Key Skills:  

  • Associate degree required, bachelor’s degree in HR or a related field preferred.
  • Minimum of 2 years’ experience in an HR administrative role, demonstrating a solid understanding of HR processes and best practices.
  • Proactively seeks out opportunities to improve and streamline existing HR processes, identifying inefficiencies and proposing enhancements to drive operational excellence.
  • Takes initiative to learn and research new HR practices, policies, and technologies when faced with uncertainty or when in doubt. 
  • Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
  • Strong attention to detail, ensuring accuracy in HR transactions, reporting, and documentation.
  • Effective organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced, dynamic environment.
  • A strong commitment to providing excellent service to both internal and external stakeholders.
  • Ability to thrive in a fast-paced environment and perform well under pressure while maintaining high levels of accuracy and efficiency.
