Join Our Team in Madrid as an HR Admin!

We are seeking a dedicated and detail-oriented HR Administrator to join our team in Madrid. This pivotal role will support a wide range of HR functions, including reporting, payroll, benefits administration, onboarding, and compliance. If you have a strong background in HR administration, excellent organizational skills, and a proactive attitude, we would love to hear from you. What You Will Do:

Reporting

  • Prepare reporting on key KPI, people metrix

  • Prepare the monthly highlights for the HR leadership team

Payroll and Benefits

  • Support in all administrative tasks related to new hires or terminations (contracts, social and in-kind benefits...).

  • Support and active participation in all internal and external audits (EINF, payroll controls, process quality...).

  • Administrative collaboration with tasks derived from the different active commissions: Equality Commission, Health and Safety Commission, etc.

  • Ensure proper management of Flexible Compensation Plan (kindergarten, transport ticket, meal monthly charge) and other Social Benefits (life insurance, health insurance…)

  • Support in the management of invoices from suppliers of HR-related services (incident management, supplier registration, etc.).

  • Support in the Benefits management (meals ticket, healthcare insurance, recognition bonus, length of service bonus, maternity/paternity awards, EBO awards, ESM awards…)

  • Support in the Annual Salary Reviews Process (i.e. issue Salary Review letters, prepare mass uploads/reports, update employee records, prepare letters, etc).

  • Support in the Annual Bonus payment. Reception of bonus objectives and appraisal and calculation to make accurate payment (i.e. prepare mass uploads/reports, update employee records, prepare letters, etc).

  • Workday support – link with MyHR team.

Administration

  • Responsible for the coordination of Onboarding Programme for new employees.

  • Support in the preparation of HR documents, presentation and reports.

  • Organizing and maintaining personnel records.

  • Updating databases internally.

  • Management of the department´ invoicing.

  • Liaise with external partners, such as vendors.

Others

  • Participate in HR projects.

  • Translation of documentation in your department.

  • Execute the correct segregation of waste in your department.

What You Need:

Minimum Qualifications (Required):

  • Bachelor's degree required or equivalent ideally in Business, Law, HR or Psychology.

  • 5+ years of work experience: proven HR experience in administration field, and payroll ideally.

  • Fluency in English and Spanish.


Preferred Qualifications (Strongly desired):

  • Previous business-facing HR, HR COE, HR Operations, or role-related experience.

  • Master in HR desirable.

  • Experience in an international organization.
