The DCX Client Services - Home-Based Print & Promotional Products Coordinator is responsible for overseeing and managing the day-to-day operations of the team. This includes tasks related to purchasing, production, and operations. The Production Coordinator will also be responsible for monitoring and tracking orders and ensuring that orders are aligned to fulfill delivery schedules while providing excellent customer service to internal and external customers.

WHAT YOU WILL DO
Quoting Print & Promotional Product Projects
Prepare accurate and competitive quotes for clients on a wide range of print and promotional product projects, including but not limited to branded apparel, drinkware, signage, trade show materials, corporate gifts, and printed collateral.
Research supplier pricing, product availability, decoration methods, and production timelines to build comprehensive proposals.
Collaborate with clients to understand project specifications, branding guidelines, budgets, and deadlines.
Present quote options clearly and professionally, including itemized pricing, shipping estimates, and production schedules.
Follow up on outstanding quotes in a timely manner to maximize conversion and maintain strong client relationships.
Order Entry & Processing
Enter all confirmed orders into EssentOne (Compass) with complete accuracy, including product details, quantities, pricing, artwork specifications, shipping information, and special instructions.
Verify all order details against approved quotes and client purchase orders before submission.
Generate and distribute order confirmations to clients for review and approval.
Maintain organized digital records of all orders, correspondence, and supporting documentation within the system.
Purchase Order Management
Create and submit purchase orders to approved suppliers and vendors through EssentOne and/or supplier portals.
Negotiate pricing, confirm availability, and coordinate production timelines with suppliers.
Track and manage all open purchase orders from placement through delivery, proactively resolving any issues such as backorders, production delays, or quality concerns.
Communicate order status updates to internal team members and clients as needed.
Maintain and nurture positive working relationships with supplier and vendor representatives.
Online Company Store Management
Manage and maintain the company’s online store(s), including product listings, descriptions, images, pricing, and inventory levels.
Process incoming online store orders promptly and accurately, ensuring fulfillment within established service-level agreements.
Coordinate with suppliers to maintain adequate inventory for store programs.
Troubleshoot and resolve any store-related issues, including customer inquiries, order discrepancies, and technical concerns.
Recommend improvements to store layout, product offerings, and user experience based on client feedback and sales performance data.
Data Entry & Vendor Invoice Processing
Enter vendor invoices into EssentOne accurately and in a timely manner, matching invoices to corresponding purchase orders and verifying pricing, quantities, and terms.
Reconcile any invoice discrepancies with vendors and coordinate resolution before processing for payment.
Perform general data entry tasks as required to maintain the integrity and accuracy of the company’s database and records within EssentOne.
Assist with generating reports, tracking key performance metrics, and supporting month-end processes as needed.
Customer Service & Client Communication
Serve as a primary point of contact for clients regarding order status, delivery timelines, and project updates.
Respond to client inquiries via phone, email, and other communication channels promptly and professionally.
Proactively communicate any changes, delays, or issues affecting client orders and provide solutions to maintain satisfaction.
Build and maintain strong, positive relationships with clients through exceptional service and attention to detail.
Escalate complex or unresolved issues to the appropriate team member or manager in a timely manner.
WHAT WE LOOK FOR
Education: Bachelor's degree in Marketing, Communications, and Business Administration, or any related field.
Experience: Minimum of 2–3 years of experience in a similar role within the promotional products, print, or advertising specialties industry.
Language Proficiency: Strong verbal, written, and English communication skills.
Working schedule: Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.
Technical Skills: Proficient in both Microsoft and Google applications. Basic exposure to Adobe Illustrator, Adobe Photoshop, and Canva is ideal.
Industry-Specific Software/Knowledge:
High-level knowledge of the promotional products industry, including familiarity with product categories, decoration methods (screen print, embroidery, digital print, laser engraving, etc.), supplier networks, and industry terminology.
Proficiency with order management and business software platforms; experience with EssentOne (Compass) is highly preferred.
Experience managing online company stores or e-commerce platforms for promotional products.
Familiarity with major promotional product supplier networks and ordering platforms (e.g., SanMar, S&S Activewear, Koozie Group, PCNA, etc.).
Knowledge of artwork file formats, proofing processes, and pre-production requirements.
Experience with inventory management and fulfillment logistics.
Industry certifications such as CAS (Certified Advertising Specialist) or other relevant credentials.
