HIM Specialist Birth Certificate - Full Time Varied Shifts

Education

  • High school graduate or equivalent
  • Previous experience and/or Birth Registrar credentials preferred, minimum of 1-2 years experience in HIM Field

Experience / Qualifications

  • Birth Registrar credentials with State of Florida Vital Statistics a plus.
  • Registration, credentials and training for designation as a JMC Birth Registrar obtained within first 3 months of hire.
  • Experience in HIM field with Electronic Medical Record systems, specifically information related to processing birth certificates for new born encounters.
  • Cerner experience a plus, must have strong knowledge of MS Word and Excel.
  • Good strong understanding of HIM record processing, workflow and Electronic Medical Records.
  • Knowledge of Florida Statutes, HIPAA HiTech, and other laws and regulations a must.
  • Strong analytic, and computer skills. Must also have good communication and organizational skills.

Position Summary

The HIM Birth Certificate Specialist is responsible for processing birth certificates for newborn encounters within 5 days as required by the state of Florida.

  • Monitor OB census to ensure required turn around time is met per Florida Statutes.
  • Work with key individuals in nursing areas to answer any PHI discrepancies needed for state intake form, work through any language or other barriers to ensure timely and accurate filing of birth certificates.
  • Issue paternal documentation for birth certificate create to parent(s) to ensure signature requirements are met.
  • Coordinate with Home Safe program liaison to ensure proper enrollment into Healthy Start program for those that qualify.  Ensure consent and documentation is obtained per State.
  • Coordinate with nursing team for new born discharge and tracking boards reflect completion of birth certificate achieved. 
  • Ensure newborn legal name is recorded in STAR.
  • Coordinate with financial team to ensure proper billing of surrogate cases.
  • Coordination/reconciliation of documents in legal medical record to ensure proper indexing and record maintenance is achieved.
  • Report urgent issues to HIM Manager/Director and provide weekly turnaround time (TAT) reports to for compliance monitoring.
  • Pick up charts from all nursing areas for courier to the HIM department for reconciliation and processing.
  • Assist with prepping and scanning of loose reports and charts when time permits.
  • All other duties assigned.

Physical Requirements

Office -2 Grip dynamometer 10 seconds/10lbs; pinch thumb and forefinger 10 seconds/2lbs; rotate wrist with 10 lb weight; flex and extend elbow with 10lb weight; raise shoulder 135 degrees forward and shrug shoulders with 10lb weight; squat; kneel on single knee; push and pull stationary cart with force of 40lbs; carry 10lb weight 30 feet; lift 20lb weight floor to table/table to floor; and lift 10lb weight table to shoulder height.

Threshold Requirements

These threshold requirements are required and completed yearly basis. Annual Joint Commission mandatory education requirements, in-service and health requirements including attendance at new employee orientation. TB/PPD Surveillance Program. Maintenance of required professional licensing and/or certification(s).
