Manage and maintain databases related to student and preceptor information (e.g., Calipso, Excel).
Maintain and organize records related to affiliation agreements, site documentation, and adjunct/volunteer faculty appointments.
Generate, compile, and interpret reports from Calipso regarding student, preceptor, and site evaluations.
Lead onboarding and training of new preceptors, including technical orientation to Calipso and clinical program expectations.
Monitor student enrollment in clinical education courses and track clinical contact hours for certification purposes (AUD and SLP programs).
Provide primary telephone and email support for clinical programs, serving as liaison between department, students, and external preceptors.
Assist with recruitment of Graduate Teaching Assistants (GTAs)
Provide direct administrative support for on-campus clinical activities and ensure operational continuity.
Manage student liability insurance records and facilitate compliance with documentation required by clinical sites and licensing authorities.
Develop, plan, and manage content and logistics for preceptor appreciation and development events.
Maintain and post job openings to the Department’s LinkedIn page in alignment with hiring and outreach strategies.
Assign and manage departmental student mailboxes and other logistical office support duties as required.
Serve as Course Coordinator for AUD 842, 843, 944, and 945, with responsibility for communication, material dissemination, and schedule alignment.
Manage process for students to schedule opportunities to participate in clinic during academic breaks.
Manage the AUD Simulation Calendar, ensuring accurate scheduling and conflict resolution.
Triage communications received from external preceptors related to student performance or behavior; resolve routine issues and escalate complex matters to Clinic Directors in accordance with departmental protocols.
Support the AUD clinic outreach efforts to include fielding requests and managing communication with external sites.
Assist with planning and preparation for accreditation site visits, including timeline management and document compilation.
Coordinate and support events related to clinical education, including student orientations and preceptor meetings.
Develop and maintain digital training resources for preceptors (e.g., instructional videos, onboarding guides).
Manage and update the department’s preceptor handbook to ensure compliance with current policies and best practices.
Communicate clinical program requirements to students and preceptors (e.g., immunizations, background checks, insurance, BLS, HIPAA, drug screening, badges), and maintain associated records.
Schedule and coordinate BLS training sessions and other onboarding activities; resolve routine scheduling conflicts independently.
Oversee the full lifecycle of Affiliation Agreements (AAs) for AuD and SLP clinical education sites. Responsibilities include facilitating new and renewal agreements, ensuring all active sites maintain current AAs, initiating agreements for prospective clinical partners, and coordinating any new agreements needed to support student externship placements.
Collect and organize availability information from clinical preceptors for rotation planning.
Work directly with students and faculty in the AUD and SLP programs to create, modify, and confirm clinical field study schedules.
Assign permission numbers for student enrollment in practica and field study courses.
Provide administrative support for clinical faculty, as directed, using discretion and initiative in task execution.

Required Qualifications
Work Experience: Seven years of relevant work experience. Relevant education may substitute on a year for year basis.
Preferred Qualifications
Education: Master’s degree in a related field. Experience may be substituted for education on a year-for-year basis.
Work Experience: One year experience in the following: working on a college campus, video editing, copyediting, and event planning.

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
