Guest Tavel & Expense Operations Analyst

This role is critical to deliver outstanding customer experiences during Guest Event Travel. You'll be at the center of connecting customers, suppliers, and internal teams ensuring every event runs efficiently from setup through final reconciliation.

What You’ll Do

  • Support customers through the complete event lifecycle, from initial setup and configuration to post-event reconciliation and reporting
  • Monitor booking activity and ticketing status within GDS systems, proactively identifying and resolving risks such as un-ticketed bookings, schedule changes, and failed reservations
  • Handle virtual card issuance, distribution, and funding for guest travel, ensuring accuracy and compliance throughout the payment lifecycle
  • Coordinate directly with providers of travel services (hotels, ground transport providers) to acquire billing statements, folios, and supporting documentation, and reconcile supplier billing against platform data
  • Investigate and resolve discrepancies between bookings, payments, and supplier charges, supporting customers with expense validation and audit readiness
  • Act a primary operational contact for the guests during live events, providing responsive support via email and platform tools
  • Troubleshoot operational, supplier, and platform-related issues, collaborating with technology, product, payments, and servicing teams to resolve complex cases
  • Track event progress and key performance metrics, identifying operational issues and providing insights to stakeholders
  • Contribute to process improvements and operational documentation, identifying opportunities to enhance efficiency and automation

What We’re Looking For

  • Experience in travel operations, customer support, group travel or event coordination
  • Experience working with travel suppliers and handling invoices, folios, and billing documentation
  • Experience using a Global Distribution System (GDS) such as Sabre GDS
  • Strong organizational and prioritization skills, able to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills in English, comfortable engaging confidently with external partners
  • Experience with technology platforms and operational tools
  • Experience supporting SaaS platforms or digital customer journeys
  • Strong problem-solving skills and attention to detail
  • Proactive mindset with an aim to streamline and optimize processes
  • Knowledge of the business travel ecosystem, including booking, ticketing, and servicing processes
