As the Grant Systems Manager, you are a highly motivated and energetic individual willing to support a variety of Philanthropy related tasks. This role requires an individual who has the ability to see and build the structures and workflows that keep complex grant portfolios running efficiently. By committing to accuracy in data documentation and compliance tracking, without losing sight of strategic priorities, this role is crucial in ensuring all our philanthropic giving is tracked and documented appropriately. This role will work effectively across teams, roles, and regions, and will have the responsibility to translate complex grantmaking requirements and data into clear, accessible information for decision-making groups to make sound decisions.
The Impact You Will Have
The Grant Systems Manager serves as the operational backbone of the Philanthropy team, overseeing the full lifecycle of grant management processes from a technical perspective, ensuring that data integrity, compliance, and reporting systems support the philanthropic goals of the company. Working closely with other team functions, this role translates philanthropic strategy into structured, scalable systems that enable the team to identify, pursue, and steward grant funding effectively.
What You Will Do
- Assist the team in building, communicating, and executing the new corporate philanthropy strategy and framework.
- Assist in informing the creation, development, and implementation of digital tools for documenting the full grant lifecycle, including application intake, due diligence tracking, award processing, reporting, reminders, and document maintenance.
- Administer and continuously improve the grants management database or CRM platform ensuring accurate and current records for all applications, requests, grants, sponsorships, matching gifts, success-driven giving, or any philanthropy-related contacts.
- Develop and maintain standardized workflows, templates, and protocols for grant prospecting, organization vetting, sponsorship request, grant application, budget analysis, and impact reporting.
- Perform data entry, research tasks, and administrative grant support; maintain accurate and up-to-date grant files, contracts, budget alignment, and compliance documentation in accordance with internal policies and legal requirements.
- Generate regular dashboard reports and analytics to inform strategy and decision making.
- Manage and maintain a comprehensive grants calendar including the company’s grant cycle deadlines, such as application invitations, proposal/request review periods, grant awards, legal agreements, sponsorship requirements, progress reports, and impact outcomes.
- Identify opportunities to streamline processes and improve data quality across the Philanthropy team.
- Support the team with data needed to effectively partner with internal teams, nonprofits, and grantmaking committees.
- Contribute to coordinated reminders for nonprofit partners of upcoming grant cycle deadlines; ensure the company meets all partnership conditions and deliverables
- Coordinate the collection and compilation of data, financial reports, and metrics
- Analyze data for reporting and grantmaking purposes.
- Monitor grant award agreements and coordinate reminders to nonprofit partners
- Assist in the maintenance of the team’s dynamic pipeline of potential partnerships, collecting inputs from internal resources and intel from external market research.
- Prepare briefing materials and partnership or nonprofit profiles to support relationship-building and decisioning efforts.
- Ensure that all grant activities comply with organizational policies, including monitoring team budgets, expenses, fund tracking, and financial documentation.
- Contribute to work with the Finance team to ensure budgets are accurately established, monitored, and reported.
- Support the development and distribution of Philanthropy communications and correspondence, including request responses, acknowledgement letters, grant award notifications, and other nonprofit partner communications.
- Assist in the preparation of presentations, briefing materials, and minutes for meetings, committee updates, and external stakeholder engagements.
- Generate standard and ad hoc reports on grantmaking activity, program outcomes, and giving data to support team planning and executive reporting.
- Assist in testing and rolling out systems updates and serve as a team technology resource.
- Facilitate coordination between US and Europe for philanthropy operations, helping to align processes, timelines, and reporting standards.
- Assist with currency, compliance, and logistical considerations for international grant transactions in coordination with Finance and Legal.
- Always maintain strict confidentiality of philanthropy information.
What You Need to be Successful
- Bachelor’s degree in nonprofit management, technology, business administration, data management, or a related field; or equivalent combination of education and experience.
- Four or more years of experience in a corporate philanthropy, foundation, nonprofit, or related professional environment.
- Demonstrated proficiency with grants management software or CRM platforms.
- Proficiency in an M365 ecosystem (M365 Groups, SharePoint, Teams, and office. applications) and extremely comfortable learning and using new technology tools.
- Must have general knowledge of creating automations, workflows, and dashboards using MS Forms, Power Automate, Power BI and/or Dynamic 365.

- Experience supporting a cross-functional or international team.
