Job Summary

This role is a key part of Strategy, Policy and Governance within the Strategy Delivery Directorate. As part of the wider Private Office team you will be working to support the Chair, Chief Executive, Board and Executive Committee to deliver the organisation’s strategy. You will be organising meetings and logistics and building stakeholder relationships at all levels - supporting the smooth running of the governance in the organisation. Working with a range of teams across finance, HR and commercial, you provide efficient, consistent, and effective governance support - ensuring decision making is fully informed by and conforms to relevant standards, codes and frameworks.

Key Accountabilities:

  • Organising logistics of governance meetings, including booking meeting rooms, diary invitations, etc. and supporting non-executive directors with hotel and travel arrangements and expenses claims

  • Building relationships with a range of stakeholders across the organisation to set Board and Committee dates and priorities; including planning a regular timetable of commissioning agendas and papers, following up actions and issuing papers

  • Supporting the collation of any other information that may be required to support our auditing, reporting and governance processes; Storing related documentation in a structured way with appropriate consideration to any issues of confidentiality

  • Reporting and oversight of follow up actions flowing from the meetings

  • Providing a full range of secretariat and administrative support and assistance, including ensuring the production of accurate records

  • Handling sensitive issues with diplomacy and maintaining strict confidentiality at all times

  • Working with senior stakeholders to ensure that decisions are made in the appropriate forum, and that Boards and Committees are operating in line with their Terms of Reference

  • Communicating the decisions and actions of the board and subcommittees effectively, ensuring transparency of decision-making

  • Support the Head of Governance with the recruitment of Non-Executive Directors as required

Essential Criteria (to be assessed at application stage):

  • Experience in governance and/or a strong administrative background with a proven ability to plan, deliver and document meetings

  • Proven organisational skills and the ability to work independently and using initiative to solve problems and suggest solutions; and an ability to deal with changing priorities

  • Strong written communication skills and attention to detail, being able to present clear observations, conclusions and recommendations to the wider team that support effective decision making

  • Demonstrable communication, influencing and engagement skills, gained through working with a wide range of stakeholders and audiences

  • Experience of working at pace, planning and prioritising to meet tight deadlines, along with an exceptional level of integrity with a proven ability to deal with sensitive material

CCS is a flexible business with a smarter working model where our colleagues benefit from a mix of home and office working. Successful candidates are expected to work from one of the office locations listed. Our current office attendance approach requires a minimum of 26 days per quarter (approx 2 days per week, which may be subject to change) in CCS office locations or off site meetings with suppliers, customers, partners, networking / industry events. This is pro rata for those who work part time. A reserve list may be held for up to 12 months, which the Civil Service may use to fill future suitably similar vacancies across government for candidates who are considered appointable following interview.
