Job Description

General Admin:

  • End to end process of travel arrangements for Prysmian colleagues, SMT, customer, or others as needed, i.e. hotel, flight, transportation arrangement, SIM card roaming and confirmation to traveler/visitor.
  • End to end process of Foreign Workers administration (Renewal, COM , ePlks and FWCMS) including hostel management and travel arrangements.
  • Hostels management: (Bungalow) for expatriate regular maintenance, cleaning & administration and contract renewal.
  • Factory & company hostels main gate master key administration.
  • Company vehicles management: cleanliness, maintenance, administration (insurance, road tax, LTA approval, traffic summons & etc).
  • Supervise company driver cum dispatch (outstation & daily dispatch schedule).
  • Maintain a Filing Record System.
  • Housekeeping & cleaners administration / contract renewal.
  • Support in internal communication such as Company newsletter, internal memo & letters, local language translation & checking, updating notice boards, public holiday communication and TV communications.
  • Supporting Front office festive decoration, renovation & repairing coordination with Maintenance.
  • Communicate with Department of Environment for all matters regarding schedule waste, including company schedule waste.
  • Handle phone calls, business correspondence and general contract management, Reception duties for the office, including answering calls in a professional and timely manner, passing on accurate messages, Internal phone list update & circulation
  • Meeting room & training room booking, also Eye-Cather administration.
  • Controlling the stock of consumable items i.e. coffee capsule, milo, snacks.
  • Tonner request Pantries monthly sundry purchase & RO drinking water consumption
  • Uniform or safety shoes request & annual order.
  • Manage the budget of office administration related expenses Office telephone & mobile phone (SCMM / DM & DMS) bill checking & verification Office photocopy machines (4 units) service monitoring.
  • Handle Stationary request & welcome pack for new joined staff (DW).

HR support:

  • Supporting in the process of Non-Desk Workers recruitment and onboarding, including interns.
  • Supporting staff welfare/activities & engagement events: such as Annual dinner coordination, company celebration, sport competition, recreation coordination & claims, events coordination.
  • Employee relations on Birthday gifts; employees locker distribution; fruit day distribution; receiving claims and invoices for HR Dept,
  • Assist HR Manager in ISO14001 record keeping.
  • HRDF application and management and Supporting training & development
  • Perform any other ad-hoc projects as assigned.

HSE Compliance:

  • Comply with applicable environmental & safety laws and regulations.
  • Question and report operations observed to be unhealthy, unsafe, noncompliant, or damaging to the environment.
  • Be aware of any significant safety & environmental aspects associated with their work and work area including proper handling of scheduled wastes; unsafe act /conditions.
  • Refrain from participating in operations that are unhealthy, unsafe, noncompliant.

Job Requirements:

  • Degree in Management or Administration.
  • At least 6 months relevant experience.
  • Good command of spoken and written English.
  • Experience within a rapidly changing organization in Multinational Company preferably within a Manufacturing environment.
  • Strong computer application and payroll system.
