Job Title: Fuel Equipment Coordinator

Job Summary: The Fuel Equipment Coordinator is responsible for serving as point of contact for Facilities and Store Operations requests for fuel equipment. This position is responsible for all aspects of parts ordering, asset management and escalated work order management related to fuel equipment. Works cross functionally to aligned goals with other teams including the Call Center, Central Station, Internal Techs, Retail Implementation, and Retail Fuels. The Facilities Services Coordinator will also assist Service Level and Vendor Managers in achieving the departmental goals for service quality, delivery and cost.
Principal Duties:
- Develop and implement improved service solutions and vendor processes as they relate to fuel equipment parts ordering and asset tracking. Provide continuous support/coaching to associates and vendors on new processes, procedures and equipment technology. Identify appropriate vendor follow up and/or implement follow up as directed by the Vendor Manager to resolve vendor and equipment issues. Identify, communicate and implement process change opportunities.
- Manage and prioritize all requests for fuel equipment orders ensuring that appropriate approvals are received prior to executing. Process all requisitions and purchases in SAP software ensuring accuracy. Investigate and resolve issues and follow through to resolution. Manage external vendor partners by monitoring all purchases, identifying trends of inaccurate or delayed deliveries, and working to resolve issues.
- Monitor vendor partners with their planned services and preventive maintenance programs by scheduling and reviewing work, managing communications with stores, internal techs and any required ancillary services in order to sustain Wawa brand standards. Review billing and/or account crediting to ensure accuracy.
- Drive compliance of Days Aged throughout the vendor network by reviewing and analyzing the open work orders and effectively communicating to the vendor network in order to hold the vendors accountable and ensure timely service to Store Operations.
- Manage escalated issues received from the Call Center, Store Operations, Vendors, Facilities and other departments within the organization via ServiceNow, Nuvolo, emails, phone calls and walk ups. Investigate and resolve issues, create work orders and follow through to resolution.
- Review, identify and maintain data affiliated with warranties. Work with external Vendors and General Contractors to ensure that the terms of the warranty are properly applied to all invoices.
- Accurately maintain Nuvolo system records for fuel equipment assets and service assignments.
- Research and report on the maintenance, repair and depreciated value of fuel equipment assets. Prepare reports for Service Level and Vendor Managers, Store Operations and Leadership to help identify trends for service, equipment cost, preventative maintenance and other factors impacting Store Operations. Review work order data, work order history, customer count/volume and sales to assist management, make recommendations on improving services, processes and reducing costs.
- Assist in the development, testing and execution for coaching and training methods to provide support for Facilities’ first level response team as it relates to vendor onboarding and systems training.
- Provide ongoing support to the Facilities’ Team to help resolve store-level issues.
- Assist with establishing vendor performance measures. Maintain and communicate measures to vendors and ensure vendors are performing according to the measures.

Basic Qualifications:
- Associate’s Degree preferred
- 2-3 years of experience with Facilities and/or Store Operations preferred
- Experience with SAP software preferred
- Strong background in use of PC applications; Microsoft Office, Internet, etc.
- Intermediate level knowledge of Excel
