About the Role
We are seeking a highly organised and proactive Faculty Executive Administration Officer to provide exceptional administrative and operational support to senior leadership across the Faculty. In this pivotal role, you will ensure the smooth functioning of executive operations, contribute to process improvements, and help drive operational effectiveness.
This role reports directly to the Senior Executive Assistant and is integral to ensuring our leadership team can concentrate on strategic priorities. It encompasses managing complex diaries, coordinating high-level meetings, supporting governance processes, and engaging with a diverse range of stakeholders to facilitate seamless operations across the Faculty.

What You’ll Do
Provide confidential administrative and operational support to Faculty leadership, including the Faculty Executive Director, Deputy Deans, and Associate Deans.
Manage complex diaries, prioritise urgent matters, and ensure optimal use of leadership time.
Coordinate logistics for meetings, prepare briefing materials, and manage travel arrangements.
Support governance processes and liaise with stakeholders to gather critical information for decision-making.
Implement and improve administrative processes, ensuring compliance with university policies.
Build strong relationships across internal and external stakeholders, including Macquarie University Hospital and Clinics.

Essential skills and experience (Selection Criteria)
A degree in Business Administration and/or relevant work experience.
Demonstrated knowledge of and experience in working in a complex administrative environment (preferably within Higher Education or Health) and experience in providing high quality administrative support to leadership teams.
Time management, high attention to detail and organisational skills with demonstrated ability to coordinate and deliver on competing deadlines.
Strong customer service focus and professional communication with a diverse range of stakeholders.
Demonstrated experience in developing and implementing administrative process improvement.
Demonstrated experience providing direct, high-level support to a Head of Function or senior manager including executive assistant or other related roles.
Demonstrated ability to proactively assess available information and source supporting information to ensure leadership is informed and prepared for meetings.
