About the Maintenance Division

The Maintenance Division provides comprehensive maintenance services to academic, administrative, athletic, and residential buildings as well as to faculty housing. These services are provided by a staff of carpenters, painters, locksmiths, electricians, plumbers, maintenance mechanics, and HVAC technicians to ensure a safe and pleasant educational environment. The maintenance staff also conducts routine preventive maintenance checks on various electrical, mechanical, and architectural systems in all campus buildings.

About the Position
Reporting directly to the Associate Director of Facilities Management for all technical and administration matters pertaining to maintenance, repair and construction projects which will be accomplished by Facilities Managers. This role assists in developing project scopes, determining appropriate method of accomplishment and preparing project request packages for approval. Monitors and tracks all projects submitted in the RR, Dormitory Repair, and process work order.

Primary Responsibilities

  • Coordinate assigned projects with Housekeeping and Maintenance Managers

  • Assist Manager in developing scope of work for projects

  • Communicate with campus community to schedule projects

  • Assist Manager in setting up bids for projects

  • Solicit bids from contractors and vendors for projects

  • Provide purchase orders for payment for contractors and vendors

  • Maintain and update contractors/vendor database

  • Coordinate vendor/contractor access, key distribution, and sign-in

  • Monitor projects completed over weekends and holidays

  • Manage the college laundry operation within Resident Halls

  • Assist with safety training for Department

  • Process requisitions and disbursement vouchers

  • Assist with maintaining documentation for R& R projects

  • Answer the Maintenance phone line

  • Manage the School Dude Work Order System and process work orders

  • Order supplies, materials, and uniforms for Maintenance/Housekeeping Divisions

  • Serve as point of contact for all shipping and receiving for departments

  • Oversee sign in and out of department heavy tools

  • Centralize department radios, keys, and iPad

  • Maintain attendance book for department

  • Dispatch staff for emergency work order

Line of Report: The Facilities Project Coordinator reports to Associate Director of Facilities Management.

Minimum Qualifications

  • High school diploma or equivalent

  • 3 years of experience as a project coordinator, project support, or support role within Facilities Management

Professional Competencies

  • Experience in writing scope of work for projects

  • Experience with School Dude Work Order System

  • Experience working with contractors and vendors

  • Effective verbal and communication skills

  • Ability to work respectfully, cooperatively, and effectively with project partners and community stakeholders

  • Strong organizational skills

Preferred Qualifications

  • Associate Degree in Business or Project Management

Special Requirements

  • Ability to obtain and maintain PA Act 12 background checks

  • Possession of a valid U.S. Drivers’ License and ability to pass a Motor Vehicle Record check
