About the Client

Overall Roles
Facilities Coordinator is responsible for finance management and facilities data management, and supports the team and Lead Facility Manager.
Duties & Responsibilities
Invoice control and management
HR information update and management
Facility Basic Data update and management
Car Park Data update and management
R&M: Repair & maintenance update and management
Tracker update and management (Invoice, Utility, etc.)
No invoice payment control and management
In-house sales: Cash back management for employee
Issue monthly newsletter
Annual building power down arrangement and management
Providing blanket PO for vendors
ProWatch: Security system Inventory control
Arrange regular facility maintenance for office and warehouse
Individual air conditioning
gas fire extinguishing equipment
water leakage detection panel
Security system
Issuing PO to vendors
Contract management and sealing
Vendor control and management
Fixed assets register
Support internal company events
Security and AV system management
Support for creating reports submitted to client
Monthly report
Financial data updates
Facility data updates
Others depend on request from client
Experience
Invoice control and PO management
Data management
(Better to have the experience on) hard service or R&M service
Task Skills
Proficiency with Microsoft Word, Excel and PowerPoint
Personal Skills
Ability to process the requests and deliver high quality of work with accuracy
Good verbal and written communication skills are required
Proactive individual and team player
Business level of English and Japanese
