Facilities Assistant

Headquarters (Austin, Texas, USA) Full time

The SailPoint Facilities Assistant is a dynamic, hands-on role that blends three core functions: active facility support, professional hospitality, and detailed operational organization. The ideal candidate would seamlessly transition between physical tasks and focused administrative work all while serving as a welcoming, professional, and secure presence for our crew and guests. Success requires balancing these duties with the polished communication and technical skills expected in a modern corporate environment. This position is perfect for a proactive, versatile problem-solver who takes pride in ensuring a workspace is functional, safe, and professional for all.

This is a full-time, on-site position at our Austin, TX headquarters, requiring a Monday through Friday schedule.

Duties:

  • Manage maintenance, inventory, and stock for breakrooms, mail room, and supply areas to ensure efficiency and optimization.
  • Function as secondary front desk coverage, including creating badges, greeting visitors and managing security registration procedures, assisting other Crew members with facilities related questions.
  • Uphold and enforce site security policies and procedures to ensure a safe and secure workplace.
  • Act as the primary liaison for food service vendors, building engineers, security officers, janitorial services, and other onsite partners, handling daily activities and managing backend administration.
  • Help with event set-up for meeting spaces including but not limited to moving furniture, providing supplies, and assisting with catering deliveries.
  • Troubleshoot issues with facilities equipment including sit-stand desks, coffee machines, refrigerators, and other small appliances.
  • Respond to, address, and track facilities trouble tickets via ServiceNow.
  • Assist with the administration of operational tasks, which requires proactive communication, deadline tracking, and record-keeping to ensure successful and timely execution.
  • Answer all department emails in a timely, efficient, and professional manner.
  • Receive, store, and manage inventory of UPS, FedEx, USPS and other packages and mail.
  • Assist the Facility Manager in completing scheduled maintenance, building improvement tasks, and other facilities-based projects.
  • Assist with other tasks to support the cleanliness, functionality, and security of the facility as determined by the Facility Manager.

Skills/Abilities desired:

  • Must be able to lift 50 pounds, walk/stand for long periods of time, bend, stoop, kneel, and reach to access and move items in a typical office environment including furniture and other equipment.
  • Ability to multi-task, work independently, and prioritize and manage tasks to meet deadlines and expectations with minimal supervision.
  • Confident, professional demeanor and ability to maintain composure in a busy environment.
  • Excellent verbal and written communication skills, including a working knowledge MS Word, Excel, PowerPoint, and Outlook.
  • Good judgment and problem-solving skills.
  • Willingness to show initiative; enthusiasm when taking on new projects and responsibilities.
  • Discretion; must maintain confidentiality when handling sensitive information.
  • Experience with facility maintenance, including HVAC, electrical, and plumbing systems a plus but not mandatory.

Roadmap and Timeline to Success 

First 30 Days

  • Become proficient in security protocols and front desk duties, understanding their importance in creating a safe and welcoming employee experience. Learn inventory/stocking patterns and master the mail/package process.
  • Learn the expectations for space cleanliness and presentation and how to maintain a consistently high standard.
  • Begin to build relationships with key contacts, including Facilities team members, other employees at SailPoint, primary vendors to learn who is responsible for what.
  • Become familiar with common requests and trouble tickets, focusing on learning the standard procedures for efficient and helpful resolutions.
  • Actively assist with event preparations and shadow the Facility Manager on administrative tasks, scheduled maintenance, and building improvement projects to understand the larger scope of work.

By 90 Days

  • Professionally and assertively enforce security/front desk protocols for all onsite users including visitors, vendors, and employees.
  • Reliably manage all daily tasks and consistently work to uphold high standard of office presentation, ensuring all spaces are well-maintained, organized, and professional.
  • Resolve the majority of facility issues with a focus on clear communication and excellent customer service, while demonstrating good judgment on when to escalate or ask for help.
  • Transition from assisting to taking ownership of assigned tasks and providing reliable support to the team.
  • Serve as a clear communication point for routine vendor activities, ensuring services are performed correctly and with minimal disruption.

By 6 Months

  • Operate with complete independence in all core duties, becoming a trusted person for employees with facility-related needs.
  • Apply your knowledge of key contacts to independently engage with stakeholders (both internal and external) to resolve requests and finish tasks.
  • Proactively identify and propose improvements to facility safety, efficiency, and service standards.
  • Take ownership of the daily coordination of key vendors, ensuring they meet expectations and maintain a high standard of work.

By 1 Year

  • Demonstrate full confidence and deep knowledge in all core responsibilities, serving as a reliable resource for the team in those areas.
  • Proactively and confidently communicate with any stakeholder to drive tasks to completion and ensure operational needs are met.
  • Use insights from daily operations to identify areas for improvement and coordinate initiatives with the team to execute them.
  • Act as a key communication partner within the facilities team, ensuring information flows effectively between everyday operations and larger team objectives.

Base salaries for employees based in other locations are competitive for the employee’s home location.
