· Financial Management: Assist in the processing of invoices, expense reports, and financial reconciliations for all FM-related POs including purchase, services, utilities and vendor contracts. Create new vendor A/C.
· Invoice and Payment Processing: Oversee submission of invoices and necessary documents for payment settlements. Coordinate with procurement and finance teams to ensure payment processes are smooth. Resolve payment enquiry from vendor.
· Records Management: Update and maintain PPM record, contract summary, PO/PR and payment summary, weekend worker list records, maintenance records, OT & petty cash record.
· Administrative Support: Organize and maintain filing systems for financial and administrative, and operation documents. Coordinate schedules and manage appointment calendars for internal meetings.
· Data Entry and Management: Input and maintain data in financial systems.
· Human Resources Support: Assist with new members onboarding, orientation, and training processes. Maintain team staff records, including leave and OT.
· Work Order Management: Monitor and check the work order completion.
· Inventory and Supply Management: Gate keeper for overseeing office supplies orders and consumption.
· Environmental Health & Safety: Inventory and replenish pantry steam items.
· Records Management: Record and report office operations for reference.
· Compliance and Procedure Implementation: Assist in reviewing and developing and implementation of administrative procedures and guidelines. Ensure the procedures are communicated and adhered to by team members.
· Telecommunications System & Service Management: Activate extensions for softphone deployment. Assist with ensuring server connectivity. Relocation of Boss & Secretary phone or Telephone line.
· Facilities Management Support: Coordinate with teams for users’ requests.
