About the Role

 

Lloyd’s Europe is seeking a highly organised and proactive Executive Team Operations Associate to provide high‑quality operational and administrative support to the Lloyd’s Europe Executive Team based in Brussels.

This is a pivotal role at the heart of the organisation, supporting senior leaders and helping ensure that executive operations run smoothly, efficiently, and professionally. You will act as a trusted point of contact, managing complex schedules, coordinating executive activity, and contributing to a positive and well‑run executive environment.

 

What You’ll Be Doing

 

  • As Executive Team Operations Associate, you will:

  • Provide comprehensive diary management for 8 members of the Lloyd’s Europe Executive Team, including planning annual agendas and coordinating frequent international travel

  • Act as a professional first point of contact and host for internal and external visitors

  • Manage executive administration including digital signatures, expense submissions, and correspondence via phone and email

  • Support executive governance activities by coordinating documentation, signatures, and notarisation as required

  • Work closely with Executive sub‑committee secretaries to ensure papers and materials are submitted on time

  • Maintain executive action trackers and proactively follow up to support timely delivery

  • Provide planned absence cover for the Executive Assistant to the CEO

  • Coordinate team annual leave and act as a delegated approver when directed

  • Support colleague engagement initiatives and events, liaising with regional offices as needed

  • Identify and implement process improvements to enhance efficiency and ways of working

Skills & Capabilities

  • Clear, confident communicator with strong diplomacy, judgement, and discretion

  • Excellent written and verbal communication skills

  • Ability to build trusted working relationships at all levels, including executive leadership

  • Highly organised with strong attention to detail and the ability to manage multiple priorities

  • Proactive and able to work autonomously, resolving issues with sound judgement

  • Strong Microsoft Office skills, particularly Outlook and Word

 

Knowledge & Experience

 

  • Experience providing operational or executive support to senior stakeholders

  • Understanding of best practice in meeting and executive support

  • Experience working within governance frameworks and established procedures

  • A collaborative team player who delivers high‑quality outcomes
