Executive Specialist to Chief Accounting Officer

Wells Fargo is seeking an Administrative Executive Specialist that will support the Chief Accounting Officer who is responsible for the day-to-day management of the Controllers group. The Controllers team delivers subject matter expertise, counsel, governance, and oversight for accounting, tax, and control activities to the business units and staff groups.

In this role, you will:

  • Provide comprehensive administrative and operational support to the Chief Accounting Officer in a fast‑paced, highly dynamic executive environment, contributing to the overall effectiveness of the leadership team
  • Proactively manage complex and high‑volume calendars, including scheduling internal and external meetings (in person, conference call, and video), frequently with senior‑most leaders across the enterprise
  • Handle highly sensitive information, confidential correspondence, and reporting with discretion, professionalism, and sound judgment
  • Coordinate and manage domestic and international travel, including booking, updates, and itinerary changes in a time‑sensitive environment
  • Prepare, create, update, and proof executive‑level presentations, reports, and other written communications
  • Participate in select meetings to capture, track, and follow up on action items to ensure timely execution
  • Establish, implement, and continuously improve office procedures, controls, processes, and tools to enhance efficiency and effectiveness
  • Present recommendations for resolving complex situations and exercise independent judgment while building understanding of business functions, policies, procedures, and compliance requirements
  • Collaborate closely with peers, colleagues, managers, and key internal and external stakeholders to resolve issues and achieve business goals
  • Track, submit, review, and facilitate approval of expenses for the executive and direct reports
  • Serve as a proxy and point of coordination for employee management systems and tools (e.g., technology access requests, approvals, onboarding support)
  • Schedule and coordinate candidate interviews, manage panel logistics, and support interview materials and documentation
  • Assist with the compilation of research, budget, and statistical data to support financial planning and business initiatives
  • Manage inbound phone calls, correspondence, and stakeholder inquiries, ensuring timely and professional responses
  • Lead and support ad hoc projects and assignments, including event coordination and offsite logistics
  • Interact as needed with internal and external customers, regulatory agents, shareholders, and other stakeholders


Required Qualifications:

  • 2+ years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education

Desired Qualifications:

  • Proven ability to handle highly confidential information with discretion, diplomacy, and professionalism
  • Strong organizational, multitasking, and prioritization skills, with the ability to perform effectively in a fast‑paced, deadline‑driven environment
  • Experience supporting executives or performing responsibilities commensurate with executive‑level support, including proactive calendaring and confidential reporting
  • Proven ability to handle highly confidential information with discretion, diplomacy, and professionalism
  • Demonstrated experience supporting multiple executives or senior leaders simultaneously
  • Demonstrated experience with proactive calendar management, travel coordination, and scheduling of meetings and events
  • Ability to work independently, anticipate needs, and exercise sound judgment
  • Excellent verbal, written, and interpersonal communication skills
  • Advanced Microsoft Office skills, including PowerPoint and Excel
  • Proven ability to work effectively across all organizational levels, demonstrating flexibility, collaboration, and adaptability
  • Travel reservation and expense reporting experience


Job Expectations:

  • This position requires onsite presence in a hybrid arrangement in the Dallas location.
  • This position is not eligible for Visa sponsorship.
