Role Title: Executive Assistant

Location : Mumbai

Role Purpose
The Executive Assistant provides high-level administrative and organizational support to a senior leader. This role ensures seamless day-to-day operations by managing calendars, meetings, travel, and key communications while always maintaining discretion and professionalism. The ideal candidate is proactive, detail-oriented, and skilled at managing multiple priorities in a fast-paced environment.

Key Duties and Responsibilities

Executive and Administrative Support
• Manage the leader’s calendar, appointments, and travel logistics.
• Coordinate leadership meetings, governance reviews, and site events, ensuring all logistics and materials are in place.
• Prepare presentations, reports, and communications with accuracy and attention to detail.
• Handle confidential correspondence and sensitive information with the highest level of discretion.
• Anticipate the leader’s needs and provide proactive administrative support to ensure priorities are met.

Operations and Coordination
• Coordinate with internal teams to ensure smooth execution of meetings, reviews, and deliverables.
• Support event and visit logistics, including planning and on-ground coordination.
• Manage PO creation, invoice processing, and vendor payments in partnership with Finance and Procurement.
• Maintain trackers, dashboards, and action logs for leadership visibility.

Communication and Stakeholder Management
• Serve as a point of contact for internal and external stakeholders.
• Draft and circulate meeting notes, communications, and updates on behalf of the leader.
• Foster effective communication and collaboration across teams to ensure timely follow-ups and closures.

Required Skills and Competencies
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• High level of confidentiality, professionalism, and judgment.
• Proficiency in Microsoft Office Suite, Teams, and collaboration tools.
• Strong interpersonal skills with the ability to work effectively across functions and levels.

Qualifications and Experience
• Graduate with 7–10 years of experience as an Executive Assistant or in a similar senior administrative role.
• Experience supporting senior leadership in a multinational or matrix organization is preferred.
• Demonstrated ability to manage complex scheduling, logistics, and communication needs.
