The Boeing CompanyWe are seeking a highly organized and proactive Executive Office Administrator to support our Vice President, Global Enterprise Sustainability in our Arlington, VA office. The ideal candidate has experience supporting senior executives and possesses a high degree of professionalism and discretion.
The selected candidate will be responsible for ensuring efficient use of time and resources, managing communication, and coordinating travel and meetings for executive-level personnel. This role requires strong communication skills, attention to detail, and the ability to work independently under limited supervision.
Key Responsibilities
Time Management: Prioritize and schedule management-level employee time and availability for efficient use of time.
Communication Handling: Process incoming and outgoing communication and correspondence to ensure proper dissemination of information.
Calendar Management: Create and maintain group calendars and meeting notices for the vice president.
Travel Coordination: Coordinate and process domestic and international business travel arrangements, monitor designated business traveler's logistics.
Expense Reporting: Generate expense reports and assist in reconciling corporate credit card charges to ensure timely and accurate reimbursement, verifying payments to corporate credit cards.
Data Compilation: Collect and compile data to provide visibility of status for traveler's review and/or signature.
Document Management: Create, edit, and maintain electronic and written communication such as memos, announcements, reports, presentations, meeting minutes, and notes utilizing Microsoft Word, PowerPoint, Excel, and SharePoint.
Information Tracking: Track and maintain information related to department and business operations.
Verbal Communication: Verbally communicate a wide variety of information to multiple audiences.
Conference Room Management: Track and maintain designated conference room schedules for availability and efficient use of resources, as well as coordinate logistics for meetings.
Office Supply Management: Order and maintain office supplies, distribution lists, and Boeing files and applications.
Event Support: Support logistics for executive-level internal and external events.
Mentorship: Provide guidance for less experienced employees.
Independent Work: Work under limited supervision to achieve departmental goals.
Basic Qualifications (Required Skills/Experience):
2+ years of experience providing office administrator support to a senior or higher-level manager
2+ years of experience making domestic and/or international travel arrangements and generating expense reports
2+ years of experience supporting calendars, travel and meeting for higher level management
3+ years of experience composing and editing documents in Microsoft Word, Excel, Outlook and PowerPoint Team player, able to work in collaborative environment
Preferred Qualifications (Desired Skills/Experience):
5+ years of experience with maintaining calendars and executive relationships
3+ years of experience converting data into a presentation
3+ years of experience in a role which required strong interpersonal and communication skills
Experience as an Office Administrator supporting a Vice President
Experience managing and organizing multiple deliverables and deadlines with minimal direction
