ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide comprehensive support for the Senior Vice President(s), Leadership and ancillary support as directed for all functions reporting to the same, while maintaining appropriate judgement, discretion, and confidentiality related to those activities.
  • Maintain organized electronic and physical filing systems to manage information securely, including special handling for confidential items related to HIPAA, Legal, Hurman Resources and other sensitive topics.
  • Conduct research, compile data, and prepare materials for consideration and presentation by and for executives, committees, workgroups, and other audiences as necessary.
  • Assist with preliminary data analysis, including gathering, cleaning, organizing, and summarizing datasets; preparing data visualizations and dashboards; and supporting initial exploratory statistical or predictive modeling tasks.
  • Support inter- and intra-departmental collaboration by maintaining centralized records, encouraging cross-functional communication, and developing clear summaries of ongoing initiative developments for area leaders and other stakeholders.
  • Manage calendar events, meeting details, logistics, itinerary planning, follow-up tracking, travel, and accommodations, ensuring preparedness for daily activities.
  • Respond to routine inquiries, route critical issues, and ensure timely resolution across all supported areas to facilitate collaboration within teams.
  • Monitor, summarize, and assist with distributing relevant industry developments, regulatory changes, and emerging trends in supported areas.
  • Proactively engage in ongoing self-learning activities to continuously expand knowledge and understanding across supported areas and related healthcare and technology domains, contributing to improved efficiency and quality of support provided.
  • Promotes the image and reputation of the System by exhibiting servant leadership and providing direct and open lines of communication.
  • Contributes to the work of committees, workgroups, project management, and other collaborative efforts of the System.
  • Performs other duties as necessary to ensure the success of the System.
  • Calendar and Logistics: Manages complex schedules, coordinates meetings, and arranges travel itineraries.

SKILLS AND ABILITIES

  • Good planning and time management skills.
  • Ability to effectively communicate and present information clearly and concisely in both written and verbal formats.
  • Knowledge of regulations governing health information management and post-acute care services.

MINIMUM QUALIFICATIONS

Bachelor’s degree in Business Administration, Healthcare Management, Information Systems, or a closely related discipline; or an equivalent combination of education and experience.

Minimum of 3–5 years of professional experience providing high-level administrative, operational, or analytical support, preferably within healthcare or other regulated industries. Experience supporting functions such as Information Technology, Human Resources, Internal Audit, or HIPAA privacy and security programs is strongly preferred.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or associates of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram format. The ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER APPLICATION SKILLS

This role requires mastery of the Microsoft Office suite of applications:

  • Microsoft Excel (data manipulation, complex formulas, macros, pivot tables, dashboards, and visualization tools)
  • Microsoft Word (advanced formatting, automated templates, styles management, professional document production)
  • Microsoft PowerPoint (advanced slide design, animations, embedded media, professional-level presentations)
  • Microsoft Outlook

Additionally, the successful candidate must demonstrate the capacity and desire to learn a wide variety of specialized software to fulfill diverse business requirements. Platforms may include records management software, statistical analysis tools, limited scripting tools, and others.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an associate encounters while performing the essential functions of this job. Works in home/remote office with frequent assignments at the main office location, as well as throughout nursing center locations and their premises.  Moves intermittently during working hours.  Travel is required up to 50% of the time.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
