Job Title: Executive Assistant to General Manager

Location: Manyata Tech Park, Bangalore

Roles & Responsibilities:  

  • First point of contact for manager’s office. Act as an effective and efficient conduit between key stakeholders and manager.
  • Provide proactive, effective and efficient administrative support (for Executive General Managers and General Manager’s):
  • Diary management: proactive, efficient time & diary management and maintenance of e-files
  • Inbox management. Monitor inbox, prioritise emails, and assist in the preparation of responses.
  • Document management. Collation of pre reading materials (Board papers, presentations, meeting papers etc.), assist in the review of papers to ensure any items manager is accountable for are prioritised and actioned in a timely manner.
  • Meeting management: arrange meetings, produce and distribute agenda, action items and associated papers as required and to the timeframes required. Attend meetings, taking minutes and action items, including monthly portfolio governance meetings
  • Co-ordinate/arrange travel, appointments, conferences & functions including catering, venue arrangements and other logistics. Ensure Group policies are adhered to.
  • Telephone management and client liaison both internal & external, representing EGM and team
  • Establish and maintain strong, effective, strategic and appropriate working relationships within business partners, EAs and other stakeholders.
  • Information technology. Provide assistance and support in managing I.T support requests and related I.T purchases.
  • Maintain accurate financial processing of invoices and reporting for specific EGM cost centres. Completion and submission of monthly expense and invoice requests for manager (and team) as required. Ensure Group policies are adhered to.
  • Undertake tasks as directed by manager, including onboarding of new employees, position management and all other non-remuneration-based requests
  • Apply the Group’s policies and processes to effectively coordinate such issues as occupational health and safety, on-boarding of new staff and all procurement requirements
  • Undertake any other tasks assigned by your manager that you are competent to perform and can accomplish safely.

Essential Skills:  

  • Graduate in any discipline.
  • 10-15 years of experience
  • Good working relationship with stakeholders
