• Scheduling internal calls
• Scheduling external calls (customers, candidates, vendors)
• Rescheduling conflicts
• Sending calendar holds
• Reviewing meetings in calendars to make sure everyone has RSVP’d, nothing has been scheduled over it, all the info is there
like zoom links etc.
Inbox Management
• Sorting and labeling emails
• Flagging priority emails
• Drafting responses for you to approve
• Following up on unanswered emails
• Unsubscribing from junk
Travel & Logistics
• Booking flights
• Booking hotels
• Restaurant reservations
• Managing changes/cancellations
Meeting & Coordination
• Creating meeting agendas
• Taking notes (or cleaning up notes)
• Tracking action items
• Sending follow-ups after meetings
• Updating project trackers
Recruiting Support
• Scheduling interviews
• Sending candidate communications
• Sending rejection or next-step emails
• Coordinating take-home assignments
Finance / Admin
• Uploading expenses
• Organizing receipts
• Vendor list maintenance
• Contract organization
Operations / Internal
• Updating Notion / internal docs
• Formatting documents and decks
• Creating templates
• Maintaining onboarding checklists
• Organizing shared drives
• Sending internal reminders (Slack, etc.)
Events & Offsites
• Venue research

Software Tools and Platforms:
• Google Suite (Gmail, Google Drive, Google Sheet)
• Slack and Notion

Special Notes:
• Must be fluent in their command of the English Language
• Must be naturally organized, knows how to prioritize, must be keen to detail | A NECESSARY REQUIREMENT
• Must know when to ask questions when they don’t know what to do
Qualifications:
• Bachelor's degree
• At least 5-years experience as an Executive Assistant for International based Software company
• Excellent English communication skills, both written and verbal. (At least B2 level)
• Excellent phone, email, and instant messaging communication skills
• Solid organizational & time management skills
• Able to work on a graveyard shift
• Tech savvy & familiar with current technologies, like desktop sharing, cloud services, and VoIP
• Experience with word-processing software and spreadsheets (e.g., MS Office)
• Knowledge of online calendars and scheduling (e.g., Google Calendar)
• Proactive attitude & willingness to be trained
Technical Requirements:
• USB Headset with Noise Cancellation feature
• Working Webcam
• Main and backup computer: at least 1.8 GHz processor with at least 4GB RAM
• Main Internet Service Speed: at least 25 Mbps wired connection
• Backup Internet Service Speed: at least 10 Mbps

Assistant Schedule: 9AM - 6PM EST
Client's Industry: Software Development
Work Set-up: Full Time Remote
Salary: PHP 70,000 TO PHP 76,000/ month plus HMO
