Summary

Seeking a highly organised Executive Assistant to support the EVP based in New Delhi. The role requires exceptionals administrative, communication and stakeholder management skills to ensure seamless day-to-day operations and effective executive support. 
 

Key responsibilities

Executive Support & Coordination

  • Manage and prioritize the EVP’s calendar, appointments, and travel arrangements across multiple time zones.
  • Support and manage senior leadership visits to India including logistics and meetings
  • Support and manage townhalls with the help of the communications and HR teams as needed
  • Prepare high-quality presentations, briefs, and reports for leadership meetings, government reviews, and strategic forums.
  • Coordinate with internal business units to track progress on key initiatives and ensure timely updates to the EVP.
  • Draft correspondence, minutes, and communication notes on behalf of the EVP for both internal and external audiences.

Government & Regulatory Liaison

  • Support the EVP in all engagements with central and state government offices, public sector bodies, and regulatory authorities.
  • Track relevant policy updates, government notifications, and industry developments
  • Facilitate coordination and follow-ups with government officials to ensure smooth execution
  • Maintain a structured database of key government contacts, meetings, and action items.

Communication & Stakeholder Management

  • Act as the liaison between the EVP and internal/external stakeholders, ensuring timely communication and follow-up.
  • Coordinate speaking engagements, industry events, and government interactions.
  • Support and manage social media platforms for the EVP as needed in conjunction with and with direction of the Head of Communications
  • Support drafting of speeches thought leadership articles, and official correspondence.
  • Build strong working relationships across business units, leadership across businesses and functions globally and external entities to enhance collaboration and information flow.

 Operational & Administrative Excellence

  • Ensure smooth office operations for the EVP, including expense tracking, logistics, and documentation management.
  • Implement systems to improve efficiency in handling communications, data management, and reporting.
  • Proactively anticipate the EVP’s needs and prepare background materials in advance of meetings.

Qualifications & Experience:

  • Education: Graduate or Postgraduate degree in Business Administration, Public Policy, Political Science, or related field.
  • Experience: 8–15 years of experience as an EA, Chief of Staff, or in a program management role supporting senior leadership.
  • Preferred Background: Experience working with or liaising with Government departments, regulatory agencies, or large public-sector clients.
  • Industry Exposure: Energy, Power, Engineering

Key Skills & Competencies:

  • Strong understanding of government functioning
  • Excellent verbal and written communication skills, including drafting official correspondence.
  • Strategic thinking with strong analytical and project management abilities.
  • High level of discretion, integrity, and professionalism.
  • Ability to manage multiple priorities in a fast-paced, high-stakes environment.
  • Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint) and collaboration tools.
