Job Responsibilities:

  • Handle professional administrative support of a highly confidential and sensitive nature

  • Manage complex calendars for senior management team members, including scheduling appointments, confirming meetings, coordinating with other Assistants, and arranging meetings with investors, clients, and offshore colleagues

  • Coordinate meetings and conference (audio and video) calls

  • Organize complex international travel itineraries and arrangements

  • Field telephone calls and manage general inquiries

  • Screen and, where appropriate, respond to email communications (both internal and external)

  • Handle confidential documentation and correspondence as required

  • Process monthly reconciliation of professionals’ expenses

  • Anticipate needs by staying informed of priorities, deadlines, and key projects, and addressing potential issue

  • Coordinate and manage ad hoc projects, events, and initiatives with timely execution

  • Liaise with international offices, clients, and external consultants

  • Collaborate effectively as part of a team of Executive Assistants, fostering a positive and supportive team environment to ensure seamless coordination and coverage across responsibilities, and provide backup support when needed

Qualifications:

The successful Executive Assistant should possess the following qualities:

  • Experience in working with senior-level executives providing outstanding administrative support in a dynamic environment

  • Superior communication and interpersonal skills

  • High level of professionalism

  • Experience in interacting with executives, professionals and/or clients

  • Ability to multi-task and prioritize time sensitive work

  • Exceptional time management and organizational skills

  • Advanced knowledge of MS Office

  • Ability to work well in a small team environment
