Key Responsibilities
Executive Support – 75%
· Provide high-level administrative support to executives, including calendar management, travel coordination, and meeting preparation.
· Draft, proofread, and manage correspondence, presentations, and reports.
· Act as a liaison between executives, internal teams, and external partners.
· Handle sensitive information with confidentiality and discretion.
· Coordinate board meetings, prepare agendas and content.
Office Management – 20%
· Oversee daily office operations, including supplies, facilities, and vendor management.
· Manage office budgets, expense reports, and purchasing processes.
· Implement and maintain office policies, procedures, and organizational systems.
· Contribute as part of a team in planning and coordinating company events, meetings, and team-building activities.
· Serve as the primary point of contact for building management and office vendors.
People & Culture Support – 5%
· Assist with onboarding of new hires and coordination of HR processes.
· Support employee engagement initiatives and internal communications.
· Maintain employee records and support compliance with HR policies and practices.
Qualifications
· 5+ years of experience as an Executive Assistant, Office Manager, or in a similar administrative role.
· Exceptional organizational and time-management skills with the ability to prioritize and multitask.
· Strong written and verbal communication skills.
· High level of discretion, professionalism, and integrity. · Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Workfront, etc).
· Familiarity with AI tools (ChatGPT, Co-Pilot, Gemini, etc.), exercising discretion and best practices.
· Ability to work independently and collaboratively across teams.
Preferred Skills
· Experience supporting C-Suite executives.
· Event planning and coordination background.
· Tech-savvy with the ability to streamline workflows and implement productivity tools.
