Executive Assistant - North Asia

Bring your energy to Aggreko as Executive Assistant based in Tokyo. You’ll  ensure the smooth, efficient, and compliant operation of the Aggreko Japan Tokyo office by overseeing office administration, procurement system support and marketing support. This role also combines duties with secretarial responsibilities supporting Managing Director (MD) for North Asia.

What you’ll do as Executive Assistant:

  • Oversee day-to-day office administrative operations, facilities and supplies including liaising with vendors, office inventory management, document management and managing seal/stamp application workflows

  • Manage MD’s calendar, schedule meetings, coordinate travel arrangements & claims expenses

  • Organise and manage logistics of the leadership meetings, trainings and similar activities.

  • Prepare strategic materials and organize information to support executive priorities

  • Support sales operation including daily sales activities and external business communications

You are:

  • Qualified to a Diploma or Degree level in business or similar relevant field of study

  • Around 2-4 years of experience in office administration or sales and marketing support roles

  • Strongly organised and able to multitask, with strong attention to detail

  • Proficient in PC skills such as Microsoft Office Suite and experience with CRM system

  • An excellent communicator in both English and Japanese with great interpersonal skills. Korean language in addition to Japanese and English would be highly regarded

  • Able to work independently and collaboratively in a fast-paced environment.
