Executive Assistant

Provides direct assistance to the CEO, CFO, and Chief of Staff (COS), as well as extended support for the North American Leadership Team. Proactively manages schedules, meeting planning, and travel arrangements. Works independently on projects and special assignments. Ensures executives are made aware of issues that need immediate attention. Handles confidential business matters and maintains smooth operation of office when the CEO, CFO, or COS are unavailable.

What will you be doing?

  • Assist the CEO, CFO, COS and North American Leadership Team in a broad range of administrative tasks which may include: coordinating/scheduling internal and external meetings, making travel arrangements and preparing expense reports, creating draft presentations, conducting research for special projects, taking meeting minutes/actions, and disseminating information to key stakeholders.
  • Proactively manages scheduling and calendars for the CFO and COS and assists the COS in maintaining the CEO’s calendar where necessary.
  • Arrange both domestic and global travel, accommodations, itineraries, and all correspondence related to those arrangements for the CEO, CFO, COS and North American Leadership Team.
  • Schedules, organizes, and coordinates activities such as meetings, travel, and conferences.
  • Coordinate activities of the executives with other divisions and departments.
  • Liaise with senior management staff on behalf of the executive office regarding projects, reports, requests and meetings.
  • Acts as a representative of the executive in dealings with individuals, groups, departments, and committees, if necessary.
  • Develop and draft correspondence on behalf of Chief of Staff and North American Leadership Team where appropriate. Proofreads correspondence for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Assist with various ad hoc tasks.
  • Other duties as assigned.

  • Associates degree required; Bachelor’s degree preferred

  • Well-versed with appropriate computer software and office systems

  • Good judgment and tact are a must.
