Job Description:
This position delivers confidential administrative and strategic support to the COO’s Office. Key administrative duties include calendar and travel coordination, expense processing, preparation of executive materials, information gathering and reporting, and management of incoming communications. The role also supports the planning and coordination of meetings and off‑sites, requiring the ability to manage multiple priorities with professionalism and discretion.
In addition, the role contributes to COO Office initiatives through data collation and MIS reporting, development of presentation materials, and project management support across various departmental initiatives.
Responsibilities:
- Communicates with executives and line management to gather and convey relevant information
- Answers manager's phone line, documenting accurate messages, and handling calls with appropriate judgment
- Proactively manages the calendar of multiple executives, effectively resolving conflicts that arise in a professional manner
- Arranges and handles details related to travel arrangements, expense reports, meetings, and appointments
- Prepares meeting minutes and related meeting documents, utilizing written and oral communication skills
- Prepares correspondence, reports, and forms for leaders, following interaction with internal and/or external customers to answer questions, research, and resolve problems
- Supports any visiting senior traveling into Singapore
- Supports COO Office initiatives through data collation and management information (MIS) reporting, consolidating inputs from multiple functions and ensuring accuracy, timeliness, and relevance of information presented to leadership
- Develops PowerPoint presentations and executive materials for translating complex information into clear, concise, and decision‑ready formats
- Provides project management support for COO‑led and cross‑functional initiatives, tracking milestones, coordinating stakeholders, monitoring progress against timelines, and escalating risks or dependencies as needed
- Balances multiple, and at times competing, priorities with professionalism, responsiveness, and a service‑oriented mindset, maintaining confidentiality and exercising sound judgment at all times
