Job Description:

We are seeking an Executive Legal Assistant to provide strategic administrative support to our Corporate Legal department. Reporting to the AVP & Managing Counsel, Corporate Legal IT & IP, you will deliver comprehensive administrative services in a mission-critical legal environment. The ideal candidate will demonstrate exceptional organizational acumen, unwavering discretion, and an unwavering commitment to maintaining the highest standards of confidentiality and professional conduct.

What will you do?

  • Proactively anticipate the needs of the team in a dynamic and fast paced environment

  • Assist with scheduling meetings, travel arrangements, expense reimbursement, and matters relating to on-boarding and off-boarding employees

  • Open, track and close legal matters on document management systems (Legal Tracker and Foundation IP), correspond with external counsel and their administrative support teams, co-ordinate approval and payment of legal invoices and purchase supplies

  • Support Legal Operations projects including assisting as plan author for business continuity planning, supporting billing inquiries, and assisting with the implementation of new technology tools

  • Prepare and format documents using a variety of applications such as Word, Excel, PowerPoint, SharePoint, OneNote and iManage

  • Prepare expense reports, submit expenses, and track team budget

  • Organize and file documents

  • Support budget / expense management for the team

  • Support creation of presentation materials and documents for internal and external audiences

  • Cover vacation and staff absences as needed

What do you need to succeed?

  • Minimum 5 years of professional experience as an Executive Legal Assistant supporting legal counsel

  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneNote)

  • Proficiency in Adobe applications

  • Knowledge of standard legal documents and documentation practices

  • Advanced time management and organizational abilities with capacity to manage competing priorities effectively

  • Strong interpersonal and communication skills with ability to thrive in both collaborative and independent work settings

  • Demonstrated discretion and ability to handle confidential company information with integrity

  • Proficiency working with multiple internal systems and databases

  • Ability to manage high-volume, paperless workflow environments

  • Sound judgment and decision-making capability on complex administrative matters

  • Strong work ethic, proactivity, reliability, and responsiveness

  • Capacity to quickly develop expertise in departmental functions, objectives, and strategic vision Assets

  • Familiarity with legal documentation standards and practices (Asset)

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
