Executive Assistant to CEO & CFO
Role Overview
We are seeking a highly experienced Executive Assistant to provide strategic and operational support to the CEO and CFO. This role goes beyond traditional administrative tasks—it requires a pragmatic, solutions-oriented professional who can pivot seamlessly between priorities, manage complex challenges, and ensure business-as-usual (BAU) activities run flawlessly.
The successful candidate will enable the CEO and CFO to focus on their highest priorities by ensuring that calendars, meetings, and operational processes are managed with precision and efficiency. This position demands exceptional organizational skills, strong communication abilities, and the confidence to lead meetings and influence outcomes using soft authority.
Key Responsibilities:
- Executive Support & Coordination
- Manage and optimize calendars for the CEO and CFO, ensuring alignment across multiple time zones.
- Coordinate and manage complex travel arrangements and expense reporting.
- Prepare and organize documents, reports, and presentations for executive meetings and business engagements.
- Handle confidential information with the utmost discretion and professionalism.
- Meeting & Agenda Management
- Collaborate closely with the Chief of Staff to develop agendas for monthly and quarterly leadership sessions.
- Lead and facilitate meetings where required, ensuring clear outcomes and follow-up actions.
- Redevelop meeting structures and processes to improve efficiency and engagement.
- Stakeholder Engagement
- Act as a key liaison across multiple levels of the organization, fostering collaboration and clear communication.
- Utilize soft authority to drive alignment and ensure timely delivery of priorities.
- Project & Operational Excellence
- Take ownership of ad hoc projects, including SharePoint creation and management, process improvements, and discreet support for direct reports.
- Ensure cost-effective operations and identify opportunities for efficiency.
- Maintain BAU activities—calendar management, expenses, and recurring meetings—so they run seamlessly.

Experience
- Significant experience as an Executive Assistant supporting C-suite executives.
- Background in corporate or scale-up environments.
- Proven ability to work collaboratively across multiple time zones and with diverse stakeholders.
Competency-Based Expectations
Within 3 months:
- Establish seamless calendar and expense management processes.
- Build strong working relationships with the CEO, CFO, Chief of Staff, and key stakeholders.
- Demonstrate ability to manage competing priorities and deliver under tight deadlines.
Within 6 months:
- Ensure monthly and quarterly leadership meetings run like clockwork, with agendas developed collaboratively and outcomes clearly documented.
- Successfully lead or facilitate meetings when required, using soft authority to drive alignment.
- Deliver at least one ad hoc project (e.g., SharePoint redesign or meeting structure improvement) that enhances operational efficiency.
Within 12 months:
- Be recognized as a trusted partner to the CEO and CFO, consistently enabling them to focus on strategic priorities.
- Implement process improvements that reduce administrative friction and improve cost-effectiveness.
- Maintain a reputation for discretion, clarity in communication, and proactive problem-solving.
