About the Role
The Executive Assistant is responsible for providing high-level executive and administrative support to Ketjen’s Chief Executive Officer and members of the Ketjen Leadership Team. This role is critical in enabling executive effectiveness through proactive calendar and travel management, coordination of leadership meetings and events, preparation of executive communications and presentations, and seamless day-to-day operational support. This role reports directly to the CEO and is based at the Clear Lake office (Houston, TX). The ideal candidate will bring a blend of executive presence, exceptional organizational capability, sound business judgment, discretion, and a proactive, solutions-oriented mindset, along with a passion for contributing to a dynamic, values-driven organization.

KEY RESPONSIBILITIES

Executive Support & Leadership Coordination

  • Provide high-level administrative support to the CEO, including complex calendar management, meeting prioritization, and coordination of shifting business demands
  • Provide executive support to members of the Ketjen Leadership Team, including scheduling, coordination, and administrative assistance as needed
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, logistics, and expense reporting
  • Serve as a trusted liaison between executive leadership and internal/external stakeholders, representing executive leadership with professionalism and discretion

Operational Excellence

  • Prepare, edit, and format executive presentations, reports, correspondence, and leadership communications with a high degree of accuracy and professionalism
  • Organize leadership meetings, executive offsites, and special events, including agenda preparation, meeting logistics, materials coordination, and follow-up tracking
  • Anticipate executive needs, proactively identify challenges, and implement solutions that improve efficiency and executive operations
  • Manage confidential and sensitive business matters with the highest level of integrity and discretion

Cross-Functional Collaboration & Strategic Support

  • Support strategic initiatives and special projects on behalf of executive leadership
  • Build strong working relationships across all levels of the organization to facilitate collaboration and effective communication
  • Establish and continuously improve administrative processes, systems, and tools that enhance organizational effectiveness and leadership support
  • Demonstrate flexibility and adaptability in a fast-paced, global business environment with evolving priorities

QUALIFICATIONS

Required Qualifications

  • Minimum 7+ years of relevant experience providing executive-level administrative support to senior leaders in a complex or global business environment
  • Bachelor’s degree in Business Administration, Communications, or related field, or equivalent combination of education and experience
  • Proven ability to manage multiple priorities, exercise sound judgment, and operate with a high level of professionalism and discretion
  • Exceptional written and verbal communication skills, including the ability to create polished executive-level correspondence and presentations
  • Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel

Preferred Qualifications

  • Experience in a private equity-backed, manufacturing, industrial, or global matrixed organization
  • Demonstrated success managing executive operations, coordinating complex schedules, and supporting strategic leadership initiatives
  • Proven ability to anticipate needs, solve problems proactively, and build trusted relationships across internal and external stakeholder group
