About the Role
Reporting to the Head of International Insurance, Legal, in the Global Legal, Compliance, Regulatory and Government the Executive Assistant is responsible for organizing, scheduling, and effectively prioritizing the senior executive’s daily activities.
AIG’s Global Legal, Compliance, Regulatory and Government Affairs (“GLCR”) department is comprised of attorneys and other professionals providing high-quality advisory and transactional support with integrity and objectivity across all parts of the organization. The team ensures an operating environment that minimizes legal, regulatory, and reputational risks and complies with all laws and regulations and AIG policies & procedures. This is a global, diverse and award-winning team that has been recognized for its leadership and innovative solutions. You will also be eligible to participate in AIG’s award-winning pro bono program.
Responsibilities:
· Proactive calendar management: schedule in-person, audio, and video meetings across global time zones
· Organise and plan international and domestic travel including flights, hotels and ground transportation and process expenses.
· Support the executive on preparing meeting documents and presentation materials, as well as pre-meeting logistics; attend team meetings to take minutes; manage deliverables on follow-up actions.
· Draft and/or proof correspondence, memos, PowerPoints, and spreadsheets as requested.
· Organise and maintain electronic and manual file systems
· Meet and greet external guests acting as the office’s first point of contact.
· Assist in onboarding new joiners.
Qualifications:
· Proven experience as an Executive Assistant within Financial Services
· Confidence in and experience of dealing with senior management and external stakeholders
· Proficiency in Microsoft Office, including a good level of Excel, PowerPoint and Word
· A high level of attention to detail with the ability to produce accurate, high-quality work
· Must have excellent written and verbal communication skills
· Proactive and pragmatic with excellent organisational skills and the ability to manage conflicting priorities
