About This Opportunity 

We are seeking a motivated, energetic and organised Examinations Officer to assist with the administration of assessment, exams and misconduct within the School of Business. You will report to the Assessment, Exams & Misconduct Coordinator and will work within the busy, collaborative BEL Student Administration Team.   

Key responsibilities will include: 

Administration Responsibilities

  • Assist the Coordinator with assessment, examination and misconduct related activities for the School in accordance with UQ, School and Faculty policies and procedures 
  • Provide accurate and timely verbal and written advice to academic staff, School administrative staff and students regarding procedures and related policies for assessment, examinations and results/grades to ensure examination and assessment processes meet a high level of accuracy, consistency and transparency across courses  
  • Liaise with School E-Learning Team and Course coordinators regarding the accuracy and compliance with policy and procedure of assessment and examination information in Jac electronic course profiles
  • Check and upload grades to si-net for the School, adhering to University deadlines
  • Assist with the administration of processes not limited to Request to Amend Grades (RTAG), Remark of Assessment, applications for deferred in-semester examinations, Extension of Assessment Due Date (EADD) and Alternative exam arrangements (AEA) in accordance with University and Faculty policies
  • Liaise between Course Coordinators and Central Examinations to ensure the accurate and timely entry of examination requests (in-semester and end-of-semester) in the UQ Exams Management System (EMS), matters related to exam scheduling, and any other exam issues arising 
  • Check examinations (in-semester, end-of-semester, deferred and supplementary) and exam settings on Blackboard Ultra and ensure the timely upload of exams to UQ EMS and/or Blackboard Ultra.
  • Contribute to the arrangements for the School’s in-semester, deferred in-semester and supplementary examinations. This includes being available to manage examinations under broad supervision if required
  • Assist with the administration of student misconduct issues within the School, following the policy and procedures to best support School Integrity Officers. Undertake associated liaison with Student Conduct on matters of student misconduct.   
  • Other duties as reasonably requested by the supervisor

Stakeholder Management

  • Provide accurate, high-quality interpretation and advice to clients based on in depth knowledge of relevant examination policy, procedures, rules, regulations, systems and processes.

About You

You will demonstrate highly effective administration, coordination and interpersonal communication skills, the ability to prioritise tasks and meet deadlines and a focus on client support and business improvement.  Additionally, you will have:

  • A Bachelor or Diploma qualification with subsequent relevant experience; or completion of an Advanced Diploma qualification and at least two years subsequent relevant work experience; or completion of a Certificate IV and extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training
  • Experience in the use of computers, including Microsoft Office suite applications, in particular word processing and spreadsheet packages
  • Database management skills and the ability to accurately process high volumes of data
  • Ability to work independently with minimum supervision within a team environment
  • Demonstrated time management skills, including the ability to meet deadlines
  • Demonstrated effective interpersonal skills and initiative when dealing with difficult situations
  • Demonstrated effective oral and written communication skills, in particular the ability to effectively and tactfully communicate with clients, ensuring cross-cultural sensitivity
  • Strong problem-solving skills and ability to contribute to continuous business process improvements
  • Attention to detail and accuracy in accordance with policies and procedures

The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia, criminal check, education check etc.
