The Role

The Events Setup Support Assistant provides hands-on support for event setup, logistics, and venue preparation across Hanoi campus. Working closely with the University Events team, the position assists with event infrastructure setup, venue operations, and logistics coordination, while supporting documentation and administrative processes, especially for major events such as Staff Parties and Graduation.

Your Responsibilities

Logistics & On-Site Event Support

  • Assist with the basic setup and dismantling of event infrastructure, including light staging elements, signage, furniture, booths, and barriers.

  • Support equipment movement, asset handling, and material transport under supervision.

  • Help prepare venues prior to events and reset spaces afterward.

  • Provide physical on-site support during peak setup and pack-down periods, especially for Staff Parties 2026 and Graduation 2026.

Facilities & Operations Assistance

  • Support room preparation, layout setup, and access coordination as directed.

  • Assist with transferring items between storage areas and event venues.

  • Work collaboratively with Property Services, Cleaning, and Security teams to ensure smooth on-ground operations.

  • Coordinate on-site logistics instructions with external suppliers during setup and teardown under guidance from the supervisor.

OHS & Compliance Support

  • Assist in checking and tracking basic OHS documentation from suppliers (e.g., work permits, installation safety methods, contractor registration, briefing attendance).

  • Liaise with external vendors to clarify missing or incorrect safety documents when required.

  • Support safe-work observations and general compliance monitoring under supervision.

Administrative & Payment Support

  • Support administrative processes such as preparing contracts, collecting invoices, and assisting with payment documentation.

  • Maintain accurate records, uploads, and documentation within RMIT’s systems.

  • Documentation follow-up related to suppliers and event logistics.

Other Duties

  • Assist with assigned projects and contribute to continuous improvement of event operations, logistics workflows, and guest experience delivery.

Key Selection Criteria

  • Final-year student or recent graduate in a relevant discipline.

  • Some experience supporting or coordinating events

  • Strong communication skills in both English and Vietnamese.

  • Good interpersonal skills with the ability to work effectively with suppliers, internal teams, and diverse stakeholders.

  • Competent in digital tools such as Monday.com, SharePoint, MS Office, and basic design software.

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent CEST 160).
