The Events Assistant helps event staff with planning and hosting meetings, conferences, and other events in the assigned department. Specifically, the Events Assistant assumes responsibility for making location, food, transportation, and presentation arrangements.

CORE JOB FUNCTIONS
1. Receives and finalizes contracts and assists with collection of event deposits and payments.
2. Performs basic office administrative functions and responds to customer questions and inquiries.
3. Sets-up, breaks-down, and transports event equipment.
4. Keeps inventory of materials and food at events to ensure they meet the needs of audience turnout.
5. Maintains guest lists and updated contacts.
6. Sustains relationships with external vendors.
7. Anticipates all support presentation materials and technology requirements and makes appropriate arrangements.
8. Adheres to University and unit-level policies and procedures and safeguards University assets.

MINIMUM QUALIFICATIONS
Education:
High School Diploma or equivalent/relevant experience, certification or license

Experience:
Minimum 1 year of relevant experience required. Any relevant education, certifications and/or work experience may be considered.

  • Teamwork: Ability to work collaboratively with others and contribute to a team environment.
  • Technical Proficiency: Skilled in using office software, technology, and relevant computer applications.
  • Communication: Strong and clear written and verbal communication skills for interacting with colleagues and stakeholders.
