Pwc Luxembourg is hiring an Event Project Coordinator (m/f/d). What if it was you?

Your mission: The event project coordinator plans and executes a series of events requested by our Marketing and Communication department. They will be responsible for managing all internal and external stakeholders from the initial conception of the event to its successful completion. The event project coordinator needs to balance creativity with logistics, financial planning, and vendor management duties.

They should excel at multitasking and balancing big-picture concerns like venue and contractor selection with details like decoration and meal planning, effectively utilizing resources and personnel to stage small and large-scale events.

Be a part of our team where you will:

  • Gather information related to each event, including the number of guests, the purpose of the event, and preferences for venues, food, and decoration. Based on this information, the event project coordinator proposes options to present to the client/sponsor;
  • Demonstrate to internal clients strong knowledge of venues and vendor offerings (including for virtual and Hybrid events);
  • Play a vital role in ensuring that events stay on budget. During the planning phase, the event project coordinator works with clients to develop an overall budget as well as category-specific budgets for certain elements of the event, such as food and venue rental;
  • Throughout the event-planning process, the event project coordinator identifies opportunities to cut down costs or reallocate funds to ensure that the project stays on budget (work directly with vendors and clients to negotiate contracts for various services);
  • Navigate in an environment requesting flexible working hours to ensure the success of the events.

Let’s talk about you. If you...

  • Have excellent event-planning skills, with the ability to define project milestones and deadlines and coordinate both clients and external contractors to ensure successful and enjoyable events that meet organizational goals and expectations;
  • Possess good knowledge of event management tools or marketing tools (Salesforce, Splash, etc.) and are comfortable with technology platforms such as Webex for webinars;
  • Bring experience in vendor relationship and budget management;
  • Demonstrate strong logistics skills, including the ability to make decisions about multiple logistical elements of an event;
  • Show flexibility with working hours;
  • Can create event scenarios and concepts;
  • Have good knowledge of the Luxembourgish market, which is considered an asset;
  • Are fluent in French and English (German is considered an asset);
  • Have at least 3 years of previous relevant experience in an Event Project Coordination role.
