RPM Project Role
Relocation Project Management Lead
Can be based in London or EMEA wide
Project Administration and Reporting
Maintain up-to-date project time forecasts that accurately estimate the staffing requirements for each project
Understand labor forecast reporting and collaborate with other Relocation Team Leads and/or the Variable Team Leads to select staff for project
Review and approve line item timesheet entries
Review, revise, reconcile and verify invoices within the timeframe specified by accounting
Manage, review and approve all reports for submittal to client
Assure completeness of all internal project administrative close-out activities
Participate actively in quarterly budget reviews
Maintain revenue status for projects/accounts
Move/Project Management
Manage all project activities on account and/or projects assigned
Manage personnel; delegate responsibilities and oversee work on multiple projects of varying complexity
Oversee the planning, scheduling and implementation of project scope
Proactively manage project-related issues on account or assignment
Ensure JLL best practices and policies are being followed
Develop a quality plan for each account/project. Provide leadership and guidance in the area of service delivery quality and monitor quality results
Ensure operations manual is in place and updated on account
Facilitate a project kick-off meeting with internal staff and key stakeholders to ensure responsibilities are communicated and understood by all concerned
Participate in select planning meetings hosted by the client, JLL teams (in case of multi X account) and other key stakeholders
Review project goals and objectives, making changes where necessary to ensure desired project results
Review the developed and implemented move/occupancy project plan and budget through collaboration with the client, facility manager, project manager and Construction manager
Review project status and tracking reports, process purchase orders and invoices for due diligence and financials
Oversee the project scope and budget, proactively address out-of-scope items with the client and if needed, initiate change orders
Demonstrate a proactive focus on meeting client and project requirements in a timely and cost effective manner
Oversee the preparation of various RFP’s needed for vendor and contractor services for the complete project
Ensure the incorporation of “best practices” into projects
Ensure that meetings to review project schedules with all participating vendors and key stakeholders are initiated and held regularly
Identify and address areas of concern regarding potential liabilities and risk
Ensure project processes are managed in accordance with the client’s and JLL policies and procedures
Oversee the procurement of all necessary vendors and outside labor
Oversee the management of supporting suppliers (technology, telephony, furniture, etc.)
Evaluate vendors to ensure compliance with the standards of performance
Ensure performance of data input into the CAFM system to maintain occupancy information
Develop and deliver required project specific reporting
Comply with all JLL policies and procedures, including but not limited to time & expenses, ethics and business practice.
Oversee the work orders and small project management, including but not limited to furniture reconfigurations and space enhancements
Ensure the coordination with various service providers to determine appropriate date(s) for implementation and communicate those dates
If necessary, determine the pricing for any non-baseline work requested (i.e. construction-related needs, furniture reconfigurations, people relocations that exceed baseline parameters, etc.)
Oversee meetings to review furniture installation schedules with furniture installation vendors and key stakeholders
Manage the furniture plan and budget through collaboration with the relocation manager, facility manager, project manager and construction manager as required
Supervise delivery of product, off-loading and staging of product for delivery
Oversee workspace security and periodic physical inventories of product deployed in client workspace
Oversee the furniture installation and relocation services of new or reuse furniture
Supervise quality control of installation crews to ensure proper handling of client’s assets
Supervise punch lists of installed product and address any escalations in punch list items
Complete necessary project close-out documentation and project report as required by the client
Supervise team of direct report Furniture Installers
Must be able to work outside normal business hours, walk semi-long distances, stand for extended period(s) of time, stoop, kneel, crouch or crawl, and carry, lift, push, or pull up to 25 pounds
Lift and/or move objects 10-50 pounds, and occasionally objects up to or more than 100 pounds
May occasionally work in outside weather conditions

Client Communication and Management
Understand and manage client expectations, interact positively with client, provide diplomatic, constructive and productive feedback to accomplish end result
Proactively identify with client leadership opportunities for improvement in project execution
Establish regular communication channels with client and partners to obtain feedback and provide project updates
Coordinate smooth staff transition with the client and stakeholders when needed
Represent the Firm at a leadership level; instill in clients a high level of confidence to deliver service
People Management, Leadership, Talent Management and Teamwork
Be directly responsible for attracting, retaining, developing and managing a team of people (4 or more) who are involved with a specific set of clients, functions, business unit or projects
Recommend and/or take actions regarding team talent (with involvement of HR; Sr. Team Lead, or RMD)
Manage directly RPM staff, and delegate responsibilities and oversee work on multiple projects of varying complexity to Sr. Managers as applicable
Sponsor an internal activity or group focused on improvement of job knowledge, skills, and abilities
Facilitate/sponsor an idea stream by team
Conduct bi-annual IPMP reviews
Mentor and train personnel
Provide recommendations regarding additional training and development of personnel
Provide guidance and training on development of scope proposals and proposal pricing
Business Development
Directly responsible for enhancing team revenues through the maintenance and expansion of existing client relationships and by developing new relationships
Function as a subject matter expert for a specific product or service
Able to communicate all available products and service offerings of the Firm
Use the developed pitch deck and other marketing materials in presenting the RPM service offerings
Contribute to the development of new product and service delivery ideas for the business unit
Cultivate long term client relationships with current and past clients, developing them into 'friends of JLL' and potential future business
Attend business development meetings and bid walk-throughs
Identify key win themes, develop detailed scopes of work and approach
Write technical proposal response sections and follow established internal proposal development schedule
Delegate selected proposal sections to others for completion or input. Review completed work by others
Provide accurate pricing for proposals and define staffing requirements
Organize potential client presentation or interview addressing multiple technical or business issues
Participate in the development of marketing materials
Fully conversant in Relocation Project Management, including all RPM services
Growth of Company
Participate in industry, networking, and educational events; with confidence, represent JLL's core business
Partner with business line leaders on growth of account/or market budgets
Implement Product Line strategy and initiatives
Act as sales Subject Matter Expert as needed to support growth.
Ensure that all projects comply with Case Study, Cost Savings, BI Data requirements and Value Add's.
Collaborate with Marketing/Operations to continually enhance sales toolkit
Optimization of Relocation Project Management processes and people to achieve reductions in cost and increase productivity
Support the development of metrics, incorporate into product guidelines
Support the Firms marketing efforts with suitable content from existing projects
Understands, assesses and mitigates risks and outcomes affecting the SL
Skills, Knowledge and Abilities
Proficient in a CAD/CAFM technology with a move management module and/or facilities management system
Strong Microsoft Excel skills
Strong Microsoft Projects skills
Ability to utilize the Microsoft Office suite of technologies
Has successfully managed relocations involving over 1000 employees
Background in project management, construction management, architecture or project strategy planning is desirable
Organizational skills with the ability to identify and manage priorities
Excellent written and verbal communication skills
Detail oriented
Flexibility with work hours and travel as needed
Ability to multi-task and work both in a team and independently
Strong working knowledge of architectural drawings and furniture and space planning concepts
Highly organized with strong analytical skills

Ability to manage all aspects of move management projects effectively and efficiently including, but not limited to Budgeting, Scheduling and Change orders
Previous experience effectively supervising, training, mentoring and evaluating several move managers at various levels within the organization/team

Recommended Experience
6 - 10 years of facility, project or construction related experience in a Corporate Real Estate environment.
Background in project management, construction management, architecture or project strategy planning is desirable
Minimum 2 years as a Sr Relocation Project Manager or related experience.
