Document Management Systems Specialist
Location: Hyderabad, India
Overview:
The Document Management Systems Specialist will support global Quality Management System (QMS) and Document Management System (DMS) initiatives by driving digital transformation, process simplification, and automation across quality-related activities. This role acts as the global DMS Super User and Coordinator, ensuring efficient document management operations, reporting, system governance, and user support within a highly regulated GMP environment.

What you will do:
Participate in projects involving implementation of systems, tools, and processes related to data management and reporting
Support development and maintenance of reporting tools, dashboards, KPIs, and databases for the Global QMS-DMS team
Act as the Global Super User/Coordinator for the eDMS application, including:
User permission management
Document ownership management
Management of document properties and workflows
Distribution list and secure group maintenance
Out-of-office delegation support
Master data and global template maintenance
Global user support and issue escalation coordination
Continuously improve and maintain the QMS webpage, FAQs, and DMS support requests within ServiceNow
Build and maintain a strong global network of SMEs, site coordinators, and QMS representatives
Manage projects from concept to completion related to Global QMS initiatives, web-based trainings, reporting, and process improvements
Support approval and quality review of global documentation to ensure compliance with administrative and formatting standards
Assist with DMS improvements, technical issue management, and OQ/PQ testing activities
Coordinate and track eDMS training activities in Cornerstone
Support Basel Headquarters with local training administration activities
Perform additional duties as assigned
What we are looking for:
Bachelor’s degree in Chemistry, Biochemistry, Pharmacy, or related field
Experience with Quality System Management in a GMP-regulated environment
Experience in the biopharmaceutical or other highly regulated industries
Strong Microsoft Office skills, especially Excel and Power BI
Experience with electronic systems, data visualization, and reporting tools
Understanding of process mapping and process performance concepts is an advantage
Strong communication and collaboration skills in an international environment
Excellent written and spoken English communication skills; German language skills are a plus
Self-starter with a solution-oriented mindset and strong teamwork skills
