The Development Coordinator assists with the planning and execution of a full range of fundraising activities within his/her designated area(s). Moreover, an employee in this position provides a broad range of functions dealing with donor communication, prospect management, and events management, and performs administrative duties in compliance with the University’s policies and procedures.

The Development Coordinator serves as a Development and Alumni Relations (DAR) team point of contact for the School of Education and Human Development (SOEHD) and the School of Communication (SOC), and all our constituents including UM alumni, donors, families, and supporters. This position is responsible for interacting, engaging, responding to inquiries, resolving issues, and improving our processes as it relates to our constituent’s experience with the University of Miami post-graduation. In addition to providing administrative support to the SOEHD and SOC DAR team. 

Essential Responsibilities:

Customer Service and Data Integrity:

  • Interacts, engages, and responds to inquiries and resolves issues in a timely manner while keeping leadership informed and the CRM updated. Coordinates reports tracking prospect responses to e-blasts and other communications for leadership’s review and follow up where appropriate.
  • Updates biographical information for the Alumni/Development database system (CRM i-BIS), including updates submitted via mail, email, chat, phone, visit and online form submissions. Reviews forms and other constituent data to identify potential qualification leads.
  • Updates solicit codes based on constituent requests and works with Development Resources to ensure data integrity for all updates requested by constituents.
  • Acts as contact and liaison for key donors, prospects, and VIPs to ensure prospect strategies are advanced.
  • Provides expedient assistance to requests and ensures that appropriate follow-up with constituents is successfully completed.
  • Facilitates cultivation and solicitation appointments for fundraisers and administrators.
  • Contacts prospects and donors to verify biographic information, appropriateness of gift announcements, and representative or event invitee information.
  • Determines and updates information regarding cultivation and solicitation status, ratings, and strategies.
  • Gathers and analyzes strategic information utilizing on-line databases, reference periodicals, and annual financial reports, and prepares background information and briefing materials.
  • Designs, extracts, and analyzes information from CRM iBIS to evaluate fundraising progress and proposals in pipeline. 
  • Ensures that past donors are regularly communicated with and re-solicited on a timely basis.
  • Assists with receptions, dinners, community activities, and small events to support stewardship and cultivation for major gift donors. 
  • Coordinates written proposals and gift agreements for solicitations by collecting and organizing materials in compliance with University policies and procedures. 
  • Deposits checks ensuring internal controls and processes non-cash donations.
  • Helps to manage SOEHD and SOC budgets to ensure proper stewardship of university resources.
  • Processes reimbursements and expense reports for the SOEHD and SOC DAR team members. 
  • Processes and reconciles expense accounts, check requisitions, purchase orders for the SOEHD and SOC team members. 
  • Maintains appointment calendar and travel arrangements for SOEHD and SOC DAR team members.
  • Works in collaboration with DAR Communications on the coordination of execution of e-blasts for SOEHD and SOC. 
  • Manages the acknowledgement letter process for letters sent to donors of SOEHD and SOC.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
     

Alumni Benefit Support:

  • Leverages feedback received from constituents along with research from peer institutions to recommend adjustments or additions to our alumni benefit offerings.
  • Provides support for SOEHD and SOC DAR team events including some weekend and evening assignments, including extended phone hours during events and other duties as assigned.
     

Office Management and Process Improvement:

  • Assists the SOEHD and SOC DAR team with projects such as creating/updating process standardizations, then documenting and communicating them with the team.
  • Manages the development, updating, and maintaining of processes for the SOEHD and SOC DAR team including but not limited to general operations, alumni verifications, online forms, and other processes which can be streamlined for maximum efficiency and effectiveness for the team.
  • Other duties and projects as assigned.

Minimum Qualifications:

  • Bachelor’s degree.
  • Minimum one year of relevant work experience required; minimum of two years professional and/or fundraising experience preferred but not required. Equivalent combinations of education/experience may be considered.
  • Must have excellent social and customer service skills, telephone etiquette and be knowledgeable in all Microsoft Office Applications, including Word, Excel, PowerPoint and Access.
  • Must have great initiative mixed with good, sound judgment.
  • Good communication skills and an excellent command of the English language, both written and oral are required.
  • Must be able to learn appropriate access, inquire and update, for the Division of Development and Alumni Relations (CRM i-BIS) database system before completion of the probationary period.
  • Must be flexible, dedicated, hardworking and show strong organizational skills and a willingness to work in a team driven environment.
  • Must be able to manage multiple tasks and meet deadlines.
  • Must be flexible, know how to prioritize, and be able to work in a dynamic environment.
  • Must be able to attend events and meetings as needed, which may include working nights and weekends.  
  • Have an understanding of engagement and customer service.  
  • Must enjoy working with data, lists, financial records and reports, understand, and utilize the principles of effective events, budget, and records management.
