Deputy Court Administrator - Civil (Washington County)

The Deputy Court Administrator- Civil collaborates closely with the District Court Administrator (DCA) and the President Judge on various strategic and operational tasks. Their main responsibility is overseeing civil case management. They evaluate current civil court functions to ensure operational efficiency and optimal staffing while suggesting appropriate improvements. Additionally, they are responsible for civil case management, statistics, mediation, and mini-jury programs, as well as overseeing common pleas senior judges.

Job Duties

  • Collaborates with the DCA on ongoing strategic and operational initiatives, including process improvements and the status of civil case load and flow.

  • Monitors and supervises the administration of new civil case filings and existing cases for appropriate judge assignments, assignment/expiration of discovery periods, trial scheduling and dispositions.  Responsible for preparation of notices for argument court and arbitration.  Oversees appropriate corrections to case records in the case management system.

  • Oversees the staff responsible for managing civil case administration.

  • Manages the daily operations and functions of the case management system for the Civil and Orphans’ Court divisions. This includes configuring the system, developing reports, creating new automated workflows and business processes, correcting docketing errors, and continuously assessing the system to recommend changes and improvements.

  • Manages and oversees the public portal for electronic filing. This includes configuring the system, managing security permissions, processing payments, answering questions from the general public, creating informational documents, and providing end-user training programs.

  • Acts as a liaison and support for the case management system vendor and elected filing officers concerning the case management system and Public Portal.

  • Serves as the language access coordinator for the judicial district.  Submits statistical reports and other information as required.  Tracks invoice payments for interpreter services and submits necessary information for reimbursable expenses.

  • Serves as the ADA coordinator for the judicial district.

Minimum Qualifications

  • Bachelor’s degree in Business, Public Administration, or a closely related field; PLUS

  • Two years of experience in court management or three years of varied office management work, including professional-level experience in budgeting, procurement, and human resources management.

  • An equivalent combination of education, experience, and/or training may be considered.
