Position Description:

The University of Louisville is seeking to hire a Department Coordinator III. This full-time position reports directly to the department chair of Mechanical Engineering (ME). The preferred candidate would have strong writing and interpersonal communication skills. Serving as The Department Coordinator for the ME department faculty, staff, and students, the position coordinates
daily office operations, performs follow ups, typing minutes, creating correspondence, agendas, spreadsheets, carries out all departmental procurement, coordinates events, and helps with accreditation, helps coordinate graduate student admissions. Create, maintain, research and update temporarily hiring list. Arrange, organize, and schedule meetings, conferences, teleconferences, travel,
and registrations for the department. Coordinate meetings and develop agenda and type memos and minutes from meetings. Handle follow up on outstanding issues. Process incoming/outgoing office correspondence. Assist in purchases, requisitions, and payment requests. Record and reallocate departmental pro-card expenses.

Essential Duties and Responsibilities

  • Assist with procurement, purchases and requisitions, order tracking, payment requests, and data recording.

  • Assist in travel arrangement and reimbursement requests for faculty, staff, students, and guests.

  • Arrange and schedule in-person and virtual meetings, faculty and students conference registration.

  • Monthly reallocation of ME departmental pro-card expenses.

  • Coordinate co-op report evaluations.

  • Monitor graduate program service account for applications/credentials.

  • Supervise student assistants, assign duties, and monitor hours.

  • Provide administrative support to communications team.

  • Create and maintain electronic mailings and queries.

Target Compensation Maximum:

$28.55

Target Compensation Minimum:

$19.03

Compensation will be commensurate to candidate experience.
