The Services team is also an instrumental part of innovation within Diligent, collaborating with other departments to bring new value to the product in the form of new or improved solutions.

We are looking for a highly professional, innovative, and technically motivated person to perform Data Specialist duties as part of the Services team.

Key Responsibilities

  • Accurately and efficiently enter client corporate governance data into a designated spreadsheet or Diligent Entities system.
  • Execute data migration activities to move client books from Diligent Boards site to SFS or other Boards site.
  • Develop Director & Officer questionnaires in Diligent Boards Questionnaire module.
  • Migration of entity documents to data library in Diligent Entities system.
  • Ensure the data is correctly formatted according to the specified guidelines, including appropriate columns, rows, headers, and formatting styles.
  • Conduct regular quality checks to verify the accuracy and integrity of the entered data, identifying and correcting any errors or inconsistencies.
  • Validate the entered data against the source documents or information to ensure the information is entered correctly and matches the original records.
  • Maintain strict confidentiality and data security protocols to protect sensitive client information and adhere to data protection regulations.
  • Complete data entry tasks within the specified deadlines and prioritise work effectively to meet project requirements and client expectations.
  • Maintain an organised system for managing and tracking data entry tasks, including proper documentation of completed work and any relevant notes or observations.
  • Collaborate with team members or clients to clarify any data-related questions, seek clarification on unclear instructions, and provide regular updates on the progress of assigned tasks.
  • Identify and resolve any technical issues or challenges related to data entry systems, software, or tools, or escalate them to the appropriate technical support team.
  • Categorising, uploading, and downloading bulk documents to and from Diligent Software.
  • Suggest and implement process improvements to enhance the efficiency, accuracy, and effectiveness of data entry tasks, such as developing templates, automation, or standardising procedures.
  • Flexibly handle changes in project requirements, data formats, or systems, and quickly adapt to new processes or tools to meet evolving needs.
  • Good Understanding of Database is must.
  • SQL intermediate level skill set is desired.
  • AI and AI tools exposure is required.
  • Any other duties as may reasonably be required.

Required Experience/Skills:

  • Proven experience interacting directly with client stakeholders at all levels
  • Previous experience in a similar role
  • Self-directed, proactive, strong problem solving/troubleshooting skills
  • Ability to work as part of a team in a multi-discipline fast-paced environment
  • Strong attention to detail to ensure the accuracy and integrity of entered data, including identifying and correcting errors or inconsistencies.
  • Excellent communication skills (both verbal and written) and interpersonal skills, able to communicate with a wide range of stakeholders (e.g., both technical and business)
  • Excellent personal time management and ability to multi-task in a fast-paced environment
  • Proactive attitude toward suggesting and implementing process improvements, automation, or streamlining data entry tasks to enhance efficiency and accuracy.
  • Ability to utilise advanced Excel sheet functions
  • Excel scripting (VBA) Desirable
  • Experience / understanding of Corporate Governance Desirable

Customer Delivery

  • Perform data migration activities including data entry, data imports, questionnaire development and other related tasks.

Career Development

  • Proactively focus on developing Product and Domain knowledge and expertise through continuous learning and personal development.
  • Learn and apply relevant programming language(s) such as SQL, ACL, Python, and any other relevant tools needed to be successful and efficient in the role.
