The Tax Coordinator II is responsible for preparing sales tax returns and for coordinating the monthly sales tax compliance process to ensure all tax filing deadlines are met and preparation of compliance returns.  The Tax Coordinator II supports the Property Tax Team with preparation of property tax filings/bills and store license renewals. The Tax Coordinator II also reviews and generates Resale Certificates requests and provides administrative support to the sales and property tax group.

What you will do – Essential Responsibilities

  • With general direction from management, manage and coordinate the monthly sales tax compliance process to ensure timely filing of tax returns with state and local agencies.  This includes running reports and escalating any issues to the appropriate IT team, coordinating monthly due date schedules and calendars to ensure timely review and processing of returns by preparers and reviewers, verifying tax payments for accuracy and processing payments, and researching and setting up ACH/Electronic Funds Transfers.
  • Review and process tax invoices submitted by the property and sales tax team.  Includes preparing, reviewing, copying/scanning, and filing tax invoices.
  • Analyze and prepare monthly compliance returns and license renewals, research variances, and update returns for new stores.
  • Review, analyze and resolve variances, and submit returns electronically via EDI (“Electronic Data Interchange”).  Ensure key processes are documented in the EDI Manual.
  • Review, decision, and process resale certificate requests submitted by the stores and procurement.  Support business partners with resale certificate inquiries and status updates.  Under limited guidance from management, lead process for issuance of annual FL resale certificates and testing efforts for semi-annual upgrade of Resale Certificate Platform.
  • Sort, review and distribute team mail and researching miscellaneous mail to ensure prompt delivery to other teams.

Qualifications and Requirements

  • Minimum of 2-4 years of experience in a corporate tax department preparing sales tax returns,  electronic filing of returns, and processing resale certificates
  • Computer skills: Microsoft Office (Excel and Word)
  • High school degree or equivalent

Work Location and Arrangement:   This role will be based out of the CarMax Home Office (Richmond, VA) and associates will work onsite 5 days per week.
