This role exists to remove operational drag from our Content and Events functions. You will own repeatable execution, project management, meeting leadership, QA, and systemization so content and events are delivered on time, at a consistently high standard, without leaders having to babysit every detail.
This is an execution-heavy role. It requires extreme attention to detail, comfort managing multiple workstreams simultaneously, strong written communication, and the discipline to follow structured processes with zero margin for preventable error.

Key Responsibilities Include:
1) Content & Event Operations Execution
- Own the operational layer of a rolling 6–8 week content and event pipeline: timelines, task breakdowns, owners, dependencies, and deadlines.
- Maintain a “next 6–8 weeks” tracker in our project management system and ensure it is reviewed in weekly leadership meetings.
- Coordinate event logistics (virtual and live), including run-of-show, breakouts, attendee tracking, confirmations, attendance and show-rate tracking, and post-event follow-up.
- Create post-event recap artifacts: action items, follow-up tasks, and tracking until completion.
2) Meeting Leadership & Accountability
- Run recurring internal meetings that keep execution on track:
- Draft agendas and circulate pre-reads.
- Start meetings, keep them on time, and capture decisions and action items.
- Assign owners and deadlines in the task system during the meeting.
- Publish recaps and ensure follow-through happens week-over-week.
- Maintain task hygiene: monitor overdue tasks, nudge owners, and escalate risks when needed.
3) Quality Control & Version Control
- QC audit client-facing assets for accuracy and professionalism (links, dates, names, branding, versions, formatting).
- Ensure latest versions of decks, workbooks, templates, and tools are stored correctly with clear naming and archival standards.
- Maintain a repeat-issues log and propose process fixes (templates, checklists, guardrails).
4) Content Systems & Asset Management
- Upload and categorize content tools/assets into the master database so internal teams can reliably find and reuse them.
- Create and maintain tool/user guides using approved AI workflows and templates.
- Maintain a slide/visual asset library: tagging, taxonomy, retrieval support, and ongoing hygiene.
- Refresh and standardize templates used across events and content (pre-event, speaker outreach, post-event follow-ups, run-of-show, tools).
5) AI & Automation (Practical, Not Theoretical)
- Use AI to speed up first drafts, formatting, summarization, and standardization while maintaining accuracy.
- Maintain prompt libraries / custom GPT instructions with versioning and usage notes.
- Maintain an “automation opportunities” backlog and implement 1–2 improvements per sprint (examples: task reminders, intake forms, reporting automation).
- Support light automation QA by running test submissions through workflows and confirming correct data flow.
6) Light Design & Production Support
- Create clean, fast layouts in Canva (and/or basic Adobe) for client-facing assets, diagrams, title cards, and simple graphics.
- Support light formatting of documents into polished PDFs using brand templates.
7) Tools & Platforms You Will Use
(You do not need deep expertise in all tools on day one, but you must demonstrate fast learning and comfort operating in systems.)
- Project Management: ClickUp (or similar)
- Docs & Collaboration: Google Drive, Docs, Sheets
- Meetings: Zoom (including webinar-style workflows)
- Presentations: PowerPoint, Google Slides, Keynote (as needed)
- Design: Canva (basic Adobe a plus)
- Training/LMS: Trainual (or similar)
- Automation: Zapier (or similar)
- AI: ChatGPT and internal GPT/prompt libraries
- Communication: Slack, email
Our requirements are pretty straightforward. To qualify you must:
- Have 3–5+ years of experience in operations, project coordination, content operations, event operations, or a similar execution-heavy role.
- Demonstrate strong project management skills: breaking work down, setting deadlines, tracking progress, and driving follow-through.
- Be highly detail-oriented. You catch errors other people miss.
- Be able to operate as a self-starter: you identify what needs to happen next without being told.
- Be comfortable leading meetings, capturing action items, and enforcing accountability through systems.
- Have strong written communication and the ability to write crisp, professional recaps and documentation.
- Have practical AI fluency: you can use AI to accelerate work while maintaining accuracy and quality control.
- Have experience organizing assets, managing version control, and maintaining libraries/databases.
- Be comfortable managing multiple workstreams simultaneously with tight turnaround times.
- Be available to work full-time during U.S. Eastern Time business hours.
