Commercial Co-ordinator  (Crewe Based)

Salary Range £26,000 - £31,000 depending on Experience.

Key Responsibilities:

  • Report directly to the Commercial Manager for all day-to-day direction and priorities, mentoring and personal development plan.
  • Support the mobilisation of and lead the day-to-day maintenance of a Customer Relationship Management (CRM) tool. Co-ordinate input from the Commercial team for customer account management plans. Produce KPI (Key Performance Indicators) dashboard reports from the CRM tool data.
  • Establish and maintain the contractual compliance for Social Value reporting. Monitor and review Social Value KPI’s and progress on actions with the relevant project teams. Work with the Rail Services Business Social Value teams to share best practice for inclusion in future tenders. 
  • Assist with customer contract review meetings. Pre and post customer meeting administrative support (e.g. minutes/actions log and tracking) to manage, maintain and develop Customer relationship in a proactive and positive manner.
  • Periodic co-ordination and reporting of the depot capacity utilization KPI’s to inform the available stabling and workshop available capacity for new enquiries and commercial offers.   
  • Effective and timely maintenance of the customer contract register, contract variations, commercial proposals, contract review minutes and the completeness of commercial documentation electronically stored.
  • Facilitate and record monthly internal commercial team governance reviews, including readiness for audits.
  • Maintenance of the commercial risk register and management of change register on a periodic basis and any relevant reporting utilising the inputs from customer contract review meetings and internal business teams.
  • Develop a process to consistently capture the lessons learned from successful and unsuccessful bids, past and current projects through mobilisation / delivery / demobilisation.
  • Develop and maintain the documenting of all commercial processes relevant to ensure full business compliance to Arriva Group and ATC quality management system. Co-ordinate the capture of best practice from ATC live projects and promote networking within Arriva Group businesses.
  • Support the Customer Contracts Performance Analyst in the preparation of all customer contract indexation review calculations in line with contractual anniversary dates, assumptions informed by actual revenue data for the revenue forecasting and business plan process.
  • Monitor and report on the actions developed through the annual customer satisfaction survey.
  • Support the preparation of mobilisation briefing packs post contract award, including the necessary SAP maintenance for the Commercial inputs during mobilisation.
  • Support the preparation for commercial proposals for new customer enquiries, contract variations and tendering opportunities as required.
  • Assist in other Commercial tasks as required and directed by the Commercial Manager

Knowledge and/or Work Experience Requirements:

  • Excellent verbal and written communication skills, including ability to effectively communicate to all relevant.
  • Demonstrate strong commercial acumen and excellent attention to detail.
  • Ability to collaborate with and influence people effectively internally and externally.
  • Excellent computer proficiency (MS Office 365 – Teams, Share Point, Word, Excel, Powerpoint, Forms, SAP Power BI and Outlook).
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and exemplary customer service.
  • Understanding of the rail industry, Arriva Group, Rail Services Business Unit and all ATC activities.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Prepared to work within various geographical areas and across various ATC sites..
  • A full and valid driving licence is essential
