Collaborative Technologies Specialist

Purpose and Scope: 

Specialized support and expertise to the Office of Center Director (OCD); as well as assistance and support to the Protocol Officer in the OCD at NASA Ames Research Center (ARC) in California.  Collaborative support via audio/visual (A/V) technology and Information Technology (IT) for workshops, meetings, outreach, conferences, and utilizing an online event calendar.  Specialized teleconference room operator support may also provide ARC reimbursable teleconference room support for other organizations at ARC in specified spaces.  Specialized skills to work with the systems, hardware, and components used in the different, custom NASA conference room spaces.  Assist with planning, developing, coordinating, and executing visits and events at ARC.  Specifically formalizing all logistics with ARC Protocol Office, and providing technical support for hybrid and collaboration technologies.  This is an Exempt position paying a salary subject to negotiating beginning at $120,000.00.

Essential Responsibilities:

1)      Dedicated Code D teleconference room operator support provides comprehensive support for program and project meetings, workshops, conferences, reviews, briefings, and technology interchange meetings.

a.     Technical expertise in Teams, Webex, and other agency supported platforms, peripherals.

b. Show PowerPoint presentations, and troubleshoot technical issues.

c. Support provided to these ARC conference rooms:

N200 Room 213; N200, Room 203; N201; N232 Room103; B3 and N232 conference centers.

d. The following skills are essential:  excellent time management, multi-tasking under pressure, strong verbal and written communication, conflict resolution, documentation precision, scheduling precision.

e. Fulfillment of NASA SATERN course NASA Foreign National Escort Training.

2)      Assist the Protocol Officer with planning, developing, coordinating, and executing visits and events at ARC.

a.     Assist in the creation of detailed itineraries for distinguished visitors.

b.     Assist in the execution of detailed agendas for high-level visits.

c.     Assist the Protocol Officer by entering visitor badge requests into the required Enterprise Visitor Access Management System (EVAMS) for both U.S. citizen (SPLAN) and international visitors (IdMAX) for visits and events at ARC.

d.     Assist in conducting orientation for the visitors as determined by the Protocol Officer (i.e., visitor badging, etc.).

e.     Assist in the coordination of a variety of special events to include ceremonies, receptions, luncheons, dinners, etc.

f.      Assist by scheduling and confirming visitors' transportation and housing reservations, as requested.

g.     Provide transportation services (driving) during tours and visits.

 

Minimum Position Knowledge, Skills, and Abilities Required:

Bachelor’s degree in business administration or related field, and five years of job-related experience. Good communications and analytical skills; working knowledge of computer systems and integrated software application programs.  Must possess planning/organizing skills.  Must be able to work under deadlines.  Position may require travel. U. S. Citizenship required for unescorted access to assigned work area(s).  Must be able to successfully pass a National Agency Check with Inquiries.  If required, must be able to obtain and maintain a security clearance.  Must possess a valid driver’s license.

Work Environment, Physical Demands, and Mental Demands:

No unusual hazards.  Occasional lifting to 20 pounds.  Intermittent sitting, standing, and walking.  Constant use of computer terminal, sight abilities, speech/hearing abilities for communication, mental alertness.  Periodic driving vehicle to transport self and others.
