Role will support the Medical Lead for either an Innovating for Growth Market Group (Central, East or North) or the Medical Lead for the Value Maximisation Group
ROLE SUMMARY
Provide comprehensive administrative support to the Medical I4G or VMG Group Lead and team, working independently with minimal supervision.
This role is key in contributing to the new team's culture by fostering connectivity across the cluster, embedding core values, and helping to enhance engagement. Embracing simplicity and an agile mindset, smooth logistics and effective activities will be ensured to help create a thriving team culture.
Close collaboration with the Medical Lead is required to coordinate projects, logistics, meetings, events, and communications.
Diligent adherence to all relevant processes and policies must be maintained to ensure compliance.
Primary Duties:
To provide comprehensive administrative support to the Medical Group Lead by providing full and proactive calendar management, ensuring all internal and external meetings are arranged efficiently.
Coordinate logistics, scheduling and planning team key meetings and events.
Contribute to shaping the team culture and fostering a sense of community centered on Pfizer’s core values, and take initiative in identifying and leading projects that enhance team culture, connectivity, and wellbeing.
Attend full team meetings, contribute as a team member with full responsibility as the secretariat
Managing expenses and organising travel, logistics, and meetings (both in-person and virtual), with effective prioritisation and resolution of conflicts.
Actively contribute to projects that improve or create new efficient working practices, focusing on simplicity and prioritisation.
Work collaboratively with Medical Operations colleagues across the group or markets.
Establish and maintain procedures and systems to support processes in line with Pfizer Compliance and SOPs
Embraces the latest digital technologies, applications and platforms to develop documents, content, slides and processes as required
New Starters and Leavers –supporting them with onboarding/offboarding where required
Manage Teams sites, keep them well organized, structured and up to date to simplify work and develop to meet team’s needs
Providing comprehensive support to the team with financial requests, ensuring adherence to allocated budget limits and minimizing financial queries. Assisting in processing financial transactions through the Ariba System and investigating financial issues, including GFS, Purchase Order, and Vendor-related queries to facilitate timely resolution. Additional financial support is provided during key periods throughout the fiscal year, particularly at Year End, to assist with Purchase Order closures.
BASIC QUALIFICATIONS
Demonstrated strong ability to carry out comprehensive administrative support to Leader/s including proficiency in all office responsibilities
Has the ability to plan, organise and prioritise own workload with minimal supervision to meet upcoming / cyclical deadlines.
Proven ability to juggle conflicting priorities.
Must possess excellent written and verbal communication and coordination skills with the ability to work effectively with all levels of management
Must be independent, proactive and self-motivated with excellent attention to detail.
Has the ability to take a broader perspective when making decisions.
Demonstrated positive “can do” attitude and agile mindset.
Support and contribute to innovation, simplicity and continuous improvement.
Excellent judgement as well as ability to work with confidential documents and information.
Ability to effectively support projects and in some cases take a leading role
Outstanding digital proficiency across all applications and platforms
In addition to the I4G Group or VMG Medical Lead, this role will work closely with the Country Medical Leads within the Cluster, the Scientific Experts, the Medical Operations colleagues and the I4G and VMG Medical Affairs Operations Senior Manager.
