The Club Administrative Assistant provides administrative support to the Club and General Manager. This position interacts with internal clients at all levels of the organization and provides guidance, direction and information to employees and supervisors at the Club.
QUALIFICATIONS
- High school diploma or equivalent education
- Thorough knowledge of general business administration practices as would be acquired through two to three years of similar experience in progressively responsible positions
- Previous human resources experience preferred
RESPONSIBILITIES/DUTIES
Team & Talent Management
- Function as the first point of contact for all TPC Sawgrass team members (hourly and management), providing timely and accurate responses.
- Share and promote the culture of TPC Sawgrass, TPC Network, and PGA TOUR with candidates and new hires.
- Serve as liaison between TPC Sawgrass and PGA TOUR headquarters (Talent & Culture, Payroll, Benefits, Risk Management, Legal).
- Assist departments with recruitment efforts, including posting positions, creating job offers, and managing pre-employment processes.
- Onboard new team members, ensuring all required documents are completed and collected.
- Enroll new hires in Workday Learning Programs and conduct new hire orientations.
- Support Chef Director and F&B Manager at PGA TOUR Café with staffing and Workday needs.
Payroll & Compliance
- Process bi-weekly payroll accurately and on time via Workday platform.
- Ensure all time submissions and approvals are completed before deadlines.
- Maintain knowledge of FLSA, federal wage and hour laws, and other regulations impacting club operations.
- Coordinate Worker’s Compensation claims and ensure timely completion of paperwork.
Employee Engagement & Communication
- Coordinate team appreciation events (food trucks, employee recognition programs, etc.).
- Ensure accuracy of internal communications and required labor law postings.
- Promote positive team culture through engagement initiatives.
Administrative Support
- Run various rosters and reports as needed.
- Distribute mail daily to each department.
- Order general office supplies for all departments in the clubhouse.
- Order and track toner usage for Konica Minolta biz-hub machines.
- Code and process invoices for the administration department account.
- Schedule CPR, AED, and First Aid training classes; maintain accurate certification records.
- Support committees (safety, department head, etc.).
- Manage sensitive and confidential information appropriately.
- Perform special projects or other duties as assigned.
