Job Summary
Schedules and provides clerical support for clinic. Conducts orientation and training of new support staff. Performs and assures competency of support staff and technicians, conducts quality assurance activities and input on peer reviews for ongoing education and development. Develops policies and procedures as they relate to clinic support and operations. Identifies areas for improvement to support optimal business operation.
Essential Functions
- Coordinates day to day support operations in support of the primary/specialty care clinic.
- Develops, implements and maintains excellent customer service standards in conjunction with the organization’s mission.
- Clinic Operations: * Provides clerical support to the clinics through reception and assistance to patients, parents, physicians and other staff. Maintains and supervises appropriate clinic flow. Monitors patient locations and wait time. * Initiates, and maintains patients’ schedules for clinic visits, and follow-up visits through use of the computerized scheduling system. These include, but not limited to; appointments, and wait list management, rescheduled list and cancelled appointments. * Identifies and provides training of support staff to ensure compliance and adherence to regulatory processes and requirements. * Keeps manager and both supervisors informed of unusual patient or employee situations, patient safety events, changes in staffing requirements, recognition or corrective actions with appropriate documentation, or operational problems within the patient care department. * Prepares bi-weekly automated time sheets and verifies with department schedules for accuracy. Discusses discrepancies with staff and Supervisors. * Works with Finance to balance monthly reports. Runs reports of all payments entered for the month. Balances against daily deposit sheet and deposit tickets; forwards to Finance. * Processes referrals- prepares patient referral shells, initiates contact with insurance companies and obtains necessary approvals/authorization for service. Works with Financial Clearance as needed. * Completes monthly reporting as required such as Open Encounters Report, Meaningful Use Report, WIR Benchmark Analysis, Immunization KPI’s, etc. * Manage Primary Care Clinic Templates for Physician and Nurse schedules and completes change and review schedules for daily and monthly concerns. Performs clerical duties to support the clinic as needed. * Monitors and manages operational supplies and equipment for clinics. * Participates in the interview team for all new clinic clerical staff employees and supplies input to the Supervisor on the selection of new employees. Facilitates new employee orientation and training. Orients new employees to the policies and procedures specific to the Clinic. * Monitors new processes and provides timely feedback which contributes to the decision making process.
- Staff Engagement and Support * Participates in the performance review process by providing input to Manager on staff performance. * Communicates staff development and competency needs for staff. Recommends performance standards consistent with organizational job descriptions * Develops systems for the orientation and training of staff on new processes in conjunction with the area Manager or Supervisor, and for ongoing training of existing staff, based on department competencies.
- Patient /Family Experience * Fosters an environment conducive to positive patient/family interactions and assures that service standards are met or exceeded. * Uses rounding strategies for staff and/or families to create a link between staff engagement and patient experience. * Uses family feedback for patient experience improvement efforts. * Acts as a patient care advocate by investigating and resolving concerns raised by staff, patient or family members.
Education:
- Bachelor’s degree in healthcare, Business Administration or related field preferred
Experience:
- 2+ years of clinic experience with professional and interpersonal skills that contribute to effectively interacting with physicians and staff, scheduling, billing, etc. required
- Team leadership experience preferred
Knowledge, Skills and Abilities:
- Analytical and critical thinking skills to make independent decisions in a complex, fast-paced environment.
- Ability to utilize Microsoft Office, Internet/Intranet, clinical and other information systems and technology to maximize program efficiency and job performance.
- Excellent communication skills in order to supervise employees and interact effectively with patients, families, physicians and co-workers.
- Excellent organizational skills required prioritizing workload.
