Position Specific Summary
The City Clerk Administrator at the City of Tucson's City Clerk's Office supervises staff and ensures the efficient execution of department operations. This position coordinates financial processes, operational systems, technology solutions, customer service initiatives, and cross-departmental workflows to ensure alignment with organizational goals, the continuous improvement of department services, and adherence to local and state legislation. The position may be elevated to Deputy City Clerk on assignment pay.
Work is performed under the supervision of the City Clerk. This position exercises supervision over division personnel.
Duties and Responsibilities
Administers the daily operations of the City Clerk’s Office, aligning financial and operational practices with organizational goals and citywide policies, and assists with the duties of the City Clerk in their absence.
Leads and maintains various departmental projects, especially related to election cycles; manages timelines, stakeholder communication, logistic coordination, and reporting from initiation through implementation.
Manages assigned professional staff, including reviewing timecards, managing schedules, completing performance evaluations, facilitating access to resources and training, and organizing and coordinating departmental projects. Conducts quality assurance reviews of operational records, reports, and documentation for clarity, accuracy, and consistency, and assists staff with complex or escalated operational issues to ensure effective service delivery and resolution.
Researches, interprets, and applies State Statutes and City Code to daily operations; ensures departmental activities comply with legal mandates, election laws, and evolving legislation while maintaining political neutrality.
Reviews reports and tracks monthly budget forecasts. Reviews budget with divisional staff to ensure division-wide understanding regarding budget expenditures and improving efficiencies. Participates in procurement processes by evaluating services, products, and operational needs to recommending solutions that support cost-effective operations.
Coordinates the collection and compilation of department-wide performance metrics and customer feedback from supervisors and divisions to inform leadership on overall departmental performance and identify opportunities for operational improvement.
Prepares written materials, proofreads, responds to inquiries, attends public meetings, and communicates with the public, supervisors, other City personnel, and Ward offices regarding inquiries and constituent requests; coordinates meetings and prepares presentations as necessary.
Assists with the coordination and administration of municipal elections, including assisting with voter registration, polling locations, and election day logistics.
Performs all other duties and tasks as assigned.
